Now in our 14th season, our authentic outdoor German Christmas Market features unique holiday shopping, seasonal entertainment, and delicious traditional food and drinks.

Located in the downtown core of Vancouver, at Jack Poole Plaza, the Christmas Market will be open to the public daily from mid-November to December 24


Full-Time Contract Opportunity - Event Operations Coordinator

Vancouver Christmas Market Inc. is seeking a driven, and enthusiastic individual with event-related logístical experience.

In collaboration with the Operations Manager, the role entails overseeing the entire operation of the event(s), from the set up & take down of the infrastructure to the supervision of suppliers and management of Hausmeister staff.


This is a full-time contract from June 1st, 2024 to January 31st, 2025 with the possibility to extend after January.

It is a combination of home office and office days, becoming full time in office & on-site from late summer to the end of the season.


Roles and Responsibilities

  • Assist Operations Manager in the planning, building, management, and tear down of VCM
  • Assist with the production schedule
  • Coordinate suppliers movein and moveout in collaboration with Operations Manager
  • Manage a team of four or more Hausmeisters (handyman/woman): scheduling, recruitment, training, etc.
  • Assist Operations Manager during initial inspections, as well as any ongoing inspections
  • Assist the Event Decor Coordinator with decor installation and planning
  • Act as point person for Operations when Operations Manager is off site
  • Provide regular event support to VCM as assigned including inventory tracking and general market functionality with support of VCM's Hausmeister team
  • Assist with warehousing, inventory and trucking implement and follow up processes
  • Establish wrap up reports, improvement guidelines and update the Hausmeister handbook

Requirements and Selection Criteria

  • Bachelor's degree or Diploma in Business Administration, Event Management, or a related field preferred.
  • Minimum 2 years of experience in operations, logistic and event coordination.
  • Advanced proficiency with software and online tools (Microsoft Office, Airtable and Inventory software)
  • Diplomatic approach while working within policies, rules, and procedures.
  • Ability to multitask within tight deadlines
  • Proven experience managing suppliers for events or festivals.
  • Excellent verbal and written communication skills
  • Excellent organizational skills and/or project management experience
  • Experience with scheduling and overseeing the activities of large groups.
  • Ability to take projects from concept through execution to final production
  • Ability to quickly adapt to changing environments, problemsolving skills, and an innovative mindset including exercising good judgment and decisionmaking.
  • Second Language (German) an asset
  • Valid Driver's license
  • Ability to lift up to 50 pounds and work in an outside environment for long periods of time.

Compensation

  • Contract $4,000 $4,500 per month or based on the experience
  • Bonus: $2000$3000 based on performance and market goals
