Temporary Receptionist/Administrator

Key Responsibilities:


  • Direct inbound calls in a pleasant and professional manner using multiline telephone system
  • Greet guests, maintain visitor log book, and coordinate staff and visitor parking
  • Collate and process incoming/outgoing mail, courier deliveries and faxes
  • Coordinate Training booking and confirmations
  • Process station account payables
  • Organize boardroom bookings, catering if required and conference code updates
  • Assist executive team members with calendar management, expense reports, travel bookings and other administrative tasks
  • Assist with employee onboarding, including business card orders, office setup, access card/key ordering, and verification of tickets for new hires etc.
  • Manage the annual Service Awards order and distribution
  • Order and maintain office supplies/equipment and office area
  • Other administrative support duties and special projects as needed

Requirements:


  • At least 2 years of experience in a similar role
  • Exceptional organization skills with the ability to meet deadlines in a fastpaced, quickly changing environment
  • Professional level written and verbal communication skills with indepth knowledge of MS Outlook, Word and Excel
  • A proactive approach to problemsolving and ability to present ideas/recommendations clearly and concisely
  • Ability to maintain strict confidentiality with assigned tasks and exercise discretion in interoffice communications
  • Ability to be an effective team player, contributing to a positive work environment
