Applications are invited for the position of ITS Administrative Coordinator in the Information Technology Services department, located at the Welland Campus.

The starting hourly rate is $28.56/hr (Pay Band F - $28.56/hr to $33.11/hr) for a 37.5 hour work week. Additional hours may be required as necessary.


Responsibilities include, but are not limited to:

  • Provide administrative support to the CTO and Project Leads in the PPO
  • schedule/coordinate meetings, record minutes, prepare documentation for distribution, and provide project budget monitoring support for all IT based projects
  • Central resource for tracking and reconciling all ITS departmental purchases, reviews ITS staff submissions, and escalates to purchasing and vendors if discrepancies/issues, as required
  • Review and audit all visa statements in the ITS department, identify any issues back to the submitters, escalate recurring issues/discrepancies to appropriate directors/managers for reconciliation
  • Monitor departmental, capital, renewal and technology budgets by coordinating annual, semiannual reviews and ensure that all budget irregularities are documented and regularly reported
  • Ensure yearly operational services and technology renewal schedules and documentation is available and current and that schedules are in place to ensure a timely renewal process
  • Track hardware and software renewal schedules and develop schedules to ensure timely renewal processes are scheduled
  • Works in conjunction and coordination with, and provides back up, for IT Office Coordinator

Qualifications:


  • Three (3) year degree/diploma Business, Social Science, Humanities, Applied Health, Mathematics or Science or related field of study
  • Minimum three (3) years office administration experience which must include large scale project coordination, requisition administration, practical accounting, budgeting and purchasing functions
  • Excellent interpersonal skills, including collaboration, teamwork, working at all levels within an organization, flexibility, and diplomacy
  • Strong problem solving and analytical skills
  • Excellent communication skills, both written and verbal
  • Keen attention to detail, thoroughness, and accuracy of work in an interruptdriven, busy environment
  • Ability to manage, organize and coordinate workload in order to meet deadlines, and to deal with multiple priorities
  • Strong computer skills, including advanced experience in using Excel to manipulate, sort and report on data including creation of both pivot reports and linked reports using the query tool.

Internal employees are those classified as full-time permanent within the Full-Time Support Staff bargaining unit, regular part-time (RPT) employees who have completed probation, and Appendix D employees with six consecutive months of Appendix D service with the College at the time of posting.
