As Procurement Coordinator, you will play a critical role in purchasing, fulfilling, and distributing Personal Protective Equipment (PPE) across the University to service Health Sciences faculties, divisions and central areas.

Your exceptional customer service skills and your proven ability to build rapport and maintain relationships with internal and external stakeholders will enable you to assess needs and supply PPE to students, faculty and staff in a timely and cost-efficient manner.

Harnessing your strong organizational skills and your relentless attention detail, you will work closely with suppliers to source, fulfill and maintain PPE inventories in accordance with U of T procurement processes and policies.


Your responsibilities will include:


  • Acting as the first point of contact for purchasing inquiries, and probing for information to establish needs
  • Obtaining quotations, analyzing and evaluating quotations, and issuing purchase orders within established limits
  • Matching order requests to packing slips, reconciling purchasing card statements, and resolving financial discrepancies
  • Coordinating selection and negotiation processes with external vendors and service providers, ensuring contractual agreements for goods and services are met
  • Liaising with internal and external contacts to facilitate purchasing and/or procurement processes and verifying that University procurement and related policies are followed
  • Maintaining and tracking detailed inventory records of supplies and materials
  • Liaising with clients and vendors to resolve minor complaints and address issues
  • Identifying and introducing variations to established administration processes, and serving as a resource to others by providing (nonsupervisory) administrative guidance

Essential Qualifications:


  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum three years of procurement experience in a research or medical retail distribution environment
  • Demonstrated customer service experience, working closely with clients to probe and establish purchasing needs and providing recommendations on products and order quantities
  • Demonstrated experience coordinating negotiation processes and service contracts with suppliers and external vendors
  • Experience processing and reconciling purchase card statements and debit memos; familiarity with University of Toronto procurement and finance administration procedures and policies
  • Experience maintaining, tracking and assessing inventory data and generating reports
  • Strong proficiency with MS Office Suite and Financial Information Systems (FIS)
  • Excellent verbal and written communication skills
  • Ability to proactively troubleshoot and resolve system issues in a timely and relevant manner or escalating where and when appropriate
  • Ability to work independently and as a team player
  • Strong interpersonal skills
