Description

Our client, an environmental stewardship for profit organization, is looking for an Executive Assistant to join their team This position reports directly to the President and Vice President.


Responsibilities

  • Provide senior executive support to the President and Vice President.
  • Maintain and proactively organize calendars, ensuring the President and/or Vice President have all of the relevant information prior to meetings.
  • Coordinate meetings and conference calls for both internal and external stakeholders.
  • Prepare agendas and make arrangements for board meetings, including preparing meeting minutes, and board resolutions.
  • Compose and prepare presentations, memorandums, correspondence and reports as requested.
  • Assist with travel arrangements, including booking arrangements, accommodation, etc.
  • Organize events, creating itineraries, arranging reservations, and run errands as necessary.
  • Handle sensitive and confidential information and have a thorough understanding of protocol, professionalism at the executive level.
  • Exemplary communication skills with all levels of individuals internally and externally, both written and verbal.
  • Anticipate the needs of senior level management and the organization through foresight and proactive planning thinking ahead and anticipating what's needed is key
  • Utilize intellectual and analytical skills to add value to senior level management through interactions with external stakeholders, reviewing documents, reports and agreements where appropriate.
  • Other duties as assigned.

Skills & Qualification

  • 35 years experience in an administrative capacity, with meeting minute experience required.
  • Exceptional written and oral communication skills.
  • Ability to adapt to and manage a constantly changing, dynamic workflow with proficiency, competency and calm.
  • Exceptional organization skills with the ability to manage multiple tasks and deadlines with confidence.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel and PowerPoint).
  • Proficient and knowledgeable in general computer software programs.
  • Technological competence: experience working with office equipment.
