As an executive assistant, you help carry out administrative activities for your sector.
You provide administrative support to 2 Vice-Presidents. You also provide administrative support to other members of your unit as needed. You actively help coordinate, plan and prioritize your unit's management activities.
Your work involves complex relationships and business priorities. You interact with many different stakeholders. You proactively and independently make decisions and carry out tasks in accordance with your superior's administrative needs. The ability to communicate effectively and tailor your approach as needed is therefore essential.
The person in this position accompanies the Vice-Presidents in their work.
The incumbent takes initiative and demonstrates proactivity and autonomy in decision-making and in carrying out activities which meet their administrative needs.
General Information on the Position
Main Responsibilities Coordinates preparation of files and deliverables for decision-making bodies- Prepares and attends management committee meetings, draws up meeting minutes and handles any resulting follow-up activities- Plans and organizes meetings and events while overseeing logistic activities- Oversees the unit's budget process by carrying out the activities required to draw up the budget and by identifying and providing reasons for potential variances- Performs various clerical activities (layout, linguistic revision, etc.) for the VPs- Assisting VPs with the operational and transactional operations within the Workday system.
Qualifications:
- Trade school diploma in a related field
- A minimum of four years of relevant experience
- Administrative experience
Please note that other combinations of qualifications and relevant experience may be considered.- Attainment of Administrative assistant certificate (an asset)- For vacant positions available in Quebec, please note that knowledge of French is required.
Specific knowledge- Proficiency in Office 365 apps (Microsoft Outlook, Word, PowerPoint, Excel, Teams, Sharepoint and OneNote.)- Advanced computer skills- Knowledge of office management systems and procedures- knowledge of office equipment, like printers and fax machines- Knowledge of Workday (an important asset)- Strong communication skills in French and English, both oral and written due to the nature of the duties or work tools or because the position involves interactions with English-speaking partners, members and/or clients.
