Description
Northgate Industries is looking for a Receptionist/Administrative Assistant.

The Receptionist is the first-person customers see when entering the company.

The Receptionist embodies strong customer service skills, a respectful and courteous demeanor and willingness to help others and provide additional support as required.


Key Accountabilities

  • Creates a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for employees
  • Operating a multiline switchboard
  • Assist visitors to navigate through the office
  • Assisting other departments within the organization when requested
  • Sending, receiving, and distributing courier packages/mail
  • Keeping the reception area tidy.
  • Screening phone calls that come into the main phone line before forwarding to ensure they are being directed to the proper area.
  • Sorting and distributing Canada Post mail.
  • Maintain calendars for Executives, Boardrooms, etc.
  • Book travel when requested for all departments
  • Responsible for company event organization.
  • Ensure the stationary room is neat, tidy, and stocked.
  • Ensure that the coffee supplies are stocked.
  • Takes customer complaints or issues and pass them on to the appropriate parties
  • Coordinates with HR/Payroll Coordinator for information to complete birthday cards for employees
  • Responsible for ordering and pickup monthly birthday snacks
  • Responsible to coordinate with HR/Payroll Coordinator for dates for Milestones
  • Responsible to order milestone plaques once per quarter and ensure arrival before milestone anniversary celebration
  • Coordinates the booking and setting up of meeting rooms
  • Responsible for managing and updating company credit card and fuel card assignments for new and current employees
  • Assists Accounts Payable monthly with the company Mastercard statement creating employee expenses on spreadsheets and forwarding to individual employees for their expense submissions
  • Provided administrative support for Quality Control Operations assisting with accurate label typing
  • Organizes and files company documents either electronically or with a paper filing system
  • Provides support for teams when necessary
  • Other administrative tasks as required

Qualifications & Experience

  • Requires Grade 12 diploma or equivalent supplemented by general accounting course
  • MS Dynamics Great Plains Software (asset)
  • Proficient in Microsoft (Excel, Outlook, and Word) and Adobe

Skills

  • Time management skills to be able to prioritize activities, especially when there is a high volume of tasks
  • Attention to detail to ensure that all company memos are free of any errors
  • Positive attitude for greeting customers and clients in a friendly and warm manner upon arrival to the office or through the phone
  • Communication skills to be able to communicate with internal team members or clients and understand their needs
  • Strong organizational skills to keep multiple calendars organized
  • Administrative skills to be able to use advanced computer programs including Microsoft Office
  • Flexibility to be able to move between activities and duties quickly if priorities change

Job Types:
Full-time, Permanent


Salary:
$38,000.00-$42,500.00 per year

  • Acheson, AB T7X 6H2: reliably commute or plan to relocate before starting work (required)

Experience:


  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
