Description

Under the direction of School Leadership, the Engagement Coordinator works closely with external stakeholders, school leadership, support staff/areas, and faculty to provide the management, coordination, implementation, and evaluation of engagement-type events.

This position must develop strategic and working knowledge of the School of Skilled Trades (SST), and its programming to ensure that event outcomes are consistent.

The Engagement Coordinator, while liaising with NAIT's marketing and communications departments, uses strategic thinking and planning to create effective marketing and communications plans, that support SST, and align with institutional priorities.

The Engagement Coordinator routinely analyzes relevant data and analytics to inform insights to share with SST leadership and optimize their work implementation.

This position will be responsible for preparing and managing event budgets.


Key Responsibilities:


Events Management

  • Develop and execute events with both internal partners and external organizations to support SST OKRs & strategic objectives
  • Lead teams to plan and coordinate events.
  • Develop and manage critical paths for events.
  • Ensure organizational and administrative tools are in place, for example, critical path, production schedule, budget templates, contact phone lists, events reference binder, centralized filing system (electronic and hard copy), etc.
  • Organize event tracking information and develop standardized processes for scheduling, communicating, and routine followups
  • Liaising with Marketing and Communications to ensure events are marketed in alignment with existing marketing strategies, and ensure relevant stakeholders are informed of event details and requirements
  • Research and book speakers for events and arrange travel and accommodations.
  • Book and attend planning committee meetings, including minutetaking.
  • Arrange logistics and services (room bookings, photography services; audiovisual and lighting requirements to determine linen, table, and floral requirements; parking; catering, set up/tear down schedule, facility clean up)
  • Arrange for gifts (sourcing, purchasing, formatting text for engraving, if required)
  • Preparing invites and managing RSVPs

Project Management

  • Leading a variety of School related engagementtype projects
  • Creating project plans, communicating timelines, and following up to ensure deliverables and deadlines are met
  • Managing and tracking project timelines and costs/budget; keeping stakeholders apprised of any roadblocks or cost overruns


  • Budgeting

  • Preparing the annual budget for projects and tracking related project expenditures
  • Gathering input and buyin from stakeholders from across the school, the institute, and external stakeholders
  • Scheduling and arranging meetings, project requests, presentations, and activities
  • Resolving client or student issues or referring to the appropriate
    area and following up that the issue was resolved.
  • Developing and maintaining procedures for the management of projects

Skills & Abilities

  • Proven Project/Event Leadership skills, leading project, and event committees/teams
  • Knowledge of project/event management principles and methods
  • Strong business acumen, and highly developed communication and interpersonal skills; the ability to build and maintain rapport with multiple stakeholders across many different industries.
  • Demonstrated initiative and ability to work efficiently with mínimal supervision.
  • Proven time management skills to meet obligations and/or deadlines with competing priorities
  • Problemsolving skills the ability to analyze information and resolve or direct issues
  • Intermediate to advanced computer knowledge and processing skills.

Qualifications:


  • Related Postsecondary Education (Degree, Diploma and/or Journeyperson Certificate)
  • 35 years of related experience in a coordination role
  • Experience working in a postsecondary environment is an asset
  • Experience in Event planning and/or project management.
  • Valid Driver's license required.

Remuneration:
$2, $3,148.35 biweekly, plus a comprehensive benefits package. (Classification - Coordinator I).

  • This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement._
