We are seeking a proactive and detail-oriented
Sales & Marketing Coordinator to join our team.

As a Sales & Marketing Coordinator, you will play a key role in coordinating sales releases and new community launches and providing overall support to the sales and marketing department.

Your responsibilities will include assisting with new community launches, creating and distributing e-blasts, updating site plans, managing website updates, coordinating events and general administration.

This position requires strong coordination, communication, and design skills.

Key Responsibilities:

New Community Launches, Sales Releases & Events Support:

  • Support in the coordination and execution of new community launches, sales releases and on-going active projects.
  • Coordinate and support various events, including new community launches, broker open houses, sales releases, groundbreaking events, sponsorship events and homeowner events.
  • Have presence at and assist at major releases and community launch events.

Eblast Creation and Reporting:

  • Utilize internal software to draft eblasts as directed by the Marketing lead.
  • Manage eblast distribution, tracking performance metrics and analyzing results.

Online Administration:


  • Maintain and update the company website and google with accurate and uptodate information.

Sales, Model Homes & Design Studio Compounds Maintenance:

  • Routinely schedule spring/fall cleaning activities and other maintenance tasks to maintain a clean, organized, and presentable sales environment at various compounds.
  • Maintaining routine contracts, such as printers and seasonal mats.

Signage Coordination and Maintenance

  • Conduct regular driveby assessments to ensure our signage is up to date and in good condition and being distributed as directed.
  • Maintain accurate records of signage program and take necessary actions for improvements.

Competitive Intelligence:


  • Visit other builders during launches and releases to collect pricelist packages for competitive intelligence.
  • Organize, document and analyze gathered information, including pricing, incentives, and product offerings.

Sales Administration:


  • Execution of head office Sales Administration, in support of companywide Sales Offices through the maintenance and daily use of Caivan's ERP system (Newstar/SalesXPress)
  • Back office administrative support for the sales team including providing updated pricelist packages, agreement schedules, cobroke forms, etc.
  • Creation and maintenance of agreement of purchase and sale including associated schedules.
  • Systems setup and maintenance including lot creation, scheduled maintenances, lot releases, price inputs, closing and start date changes, civic addresses etc.
  • Distribution of sales releases and creation of lot premiums maps.

General Administration:


  • Provide general administrative support to the sales and marketing department.
  • Coordinate the inventory management of all sales & marketing collateral and swag.
  • Coordinate the ordering and distribution of gifts or promotional items.

Other responsibilities within the scope and spirit of the role.

Qualifications:


  • Bachelor's degree in business, marketing, or a related field (preferred).
  • Proven experience in a sales support or marketing coordination role.
  • Strong organizational and multitasking skills, with the ability to manage multiple projects and priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in CRM software and MS Office suite.
  • Analytical mindset with the ability to interpret and present data effectively.
  • Understanding of sales and marketing principles and techniques.
  • Selfmotivated and proactive, with a resultsoriented mindset.
  • Ability to work collaboratively in a team environment.
  • Flexibility to adapt to changing priorities and deadlines.
  • Understanding of the homebuilding industry and knowledge of local real estate market trends.
  • Valid drivers license and access to a vehicle.


In addition to the responsibilities, the Sales & Marketing Coordinator will be required to work occasional weekends for sales releases and major product launches.

These crucial events demand meticulous planning, coordination, and on-site support to ensure their success and contribute to meeting sales targets.

The Sales & Marketing Coordinator position is located out of Ottawa, but is a shared service across both regions and will be required to occasionally travel to Toronto to provide support for GTA sales and marketing activities.
