***: The incumbent will be responsible for providing a range of administrative, academic, and project functions in the Medical Affairs office and will provide operational support for the Vice President, Medical Affairs. This will include stakeholder relations both internal and external to the Hospital, collaborating on and implementing strategic initiatives undertaken by the Vice President, Medical Affairs (including at provincial and international levels), managing financial aspects of the portfolio, including budget creation, and managing and creating metrics as required.


The incumbent will work closely with all areas of the hospital and will act as a liaison for the Vice President, Medical Affairs, sitting on committees and groups as a representative as required, as well as managing operational aspects of new project development, using project management skills.

The incumbent must be able to align medical, academic and business affairs.

Human resource functions and activities include recruitment and retention of medical staff and Clinical Fellows. Writing reports, briefing notes and assisting with presentation preparation will be required.

Writing policies and procedures under the direction of the Vice President, Medical Affairs will be a component of the position.


KEY DUTIES AND RESPONSIBILITIES:


Leadership/Program Planning:

  • Partner and collaborate with internal and external key stakeholders in support of achieving portfolio and initiative goals and objectives
  • Create and contribute to the development of requests for proposals (RFPs), funding proposals and business cases for new services, initiatives, programs.
  • Facilitate teams and groups (working, task, advisory and steering groups) and other engagement activities as required
  • Utilize strategic thinking to align and prioritize work and achievement of goals Support development of annual portfolio goals
  • Act as a liaison for the Vice President, Medical Affairs, sitting on committees and groups as a representative as required
  • Oversight of all Corporate Action Planning and large portfolio projects reporting to ensure strategic and resource alignment and identify interdependencies and change management implications

Financial Management and Human Resources:

  • Manage financial aspects of the portfolio, including budget creation, forecast, and variance analysis
  • Lead contract management for medical staff
  • Assist the Vice President, Medical Affairs in recruitment and retention of medical staff as required
  • Assist with the onboarding of Clinical Fellows in partnership with postgraduate university programs

Quality Improvement/Evaluation/Research:

  • Plan, implement and manage initiatives focused on identifying opportunities for operational and service delivery improvements
  • Using the PDSA cycle, monitor and support teams in developing and implementing quality improvement plans
  • Development of recommendations to support increasing operational efficiencies and effectiveness
  • Lead development and implementation of evaluation plans across various projects and programs
  • Lead stakeholder interviews/focus groups to support quality improvement and evaluation;
  • Lead development of BI reporting plans, data analysis and dissemination plans for assigned initiatives and definition of supporting business requirements for reporting
  • Analyze qualitative and quantitative data and develop summary of findings, including trend analysis and key themes
  • Create and monitor performance indicators, including delivery of a portfolio compliance report
  • Contribute to and manage the development of research protocols and associated material for REB approvals
  • Monitor developments in quality improvement, knowledge translation and analytics by reviewing research evidence, staying apprised of best practices, and via consultations with external stakeholders to inform key initiatives as applicable
Project Management

  • Project and change management oversight for assigned corporate and strategic initiatives that fall under the sponsorship of the VP, Medical Affairs (organizational, provincial and international levels)
  • From a PM lens, anticipate and advise senior leadership on problem solving and strategic solutioning as project executes regarding issue and risk management and delivery of milestones by target date
  • Assess project needs and determine appropriate PM tools and resources to maximize value to support successful project delivery
  • Prepare detailed project charters and plans, direct and coordinate project activities and lead project teams from concept to closeout.
  • Monitor project progress against baseline, provide corrective action to address variance, manage issues/risks and develop mitigation strategies through interaction with project constituents and stakeholders.
  • Identify and manage overall project dependencies and ensure in collaboration with project team and stakeholders, the project remains ontime, budget and scope
