Receptionist

  • Provides efficient receptionist and clerical services to the organization and routine administrative support._
  • Duties include receiving and directing a high volume of incoming calls; greeting visitors; sorting and_
- distributing incoming mail; typing a variety of documents and providing clerical assistance._


What you will do:

  • Operates switchboard and receives all incoming calls; determines the nature of the calls; answers, questions and/or transfers calls to the appropriate individual or division;
  • Acts as the initial on premise contact with visitors;
  • Provides direction to visitors and/or notifies appropriate employees;
  • Provides clerical assistance and support to other departments within office;
  • Updates telephone and branch location listings;
  • Performs a wide variety of general clerical work and assists with data entry as required;
  • Records all telephone and photocopier system malfunctions and reports them to the appropriate contact;
  • Arranges for special deliveries, registered mail, and courier services when needed;
  • Maintains records on postage and courier charges and is responsible for verifying the courier charges billed to the organization;
  • Performs other clerical and administrative duties as required.
  • Other jobs as assigned.

What you will bring:

  • Post Secondary education plus a minimum of two (2) to three (3) years related experience, preferably in an office environment or within the industrial distribution industry, or the equivalent combination of education and experience;
  • Experience working on a multi line switchboard;
  • Knowledge of general office procedures and general office equipment;
  • Ability to be tactful and diplomatic, with suppliers and customers;
  • Consistently meeting deadlines within a fast paced work environment and works effectively within time constraints;
  • Extreme attention to detail and accuracy;
  • Demonstrated initiative with the ability to work in a collaborative team based environment;
  • Highly organized in prioritizing work and multitasking;
  • Fluency in both French and English would be an asset.
