This role reports to the General Manager.

Concierge Job Descriptions (7-3, 3-11, 11-7, and weekend/extra duties)


There are some specific duties for each shift, but we, as a team, are responsible for all of the similar tasks.

Please see the following list of specific shift duties, and extra tasks we can all be completing if we have extra time.

The residents needs come first, and these additional tasks should only be completed if you are not completing a request for a resident and all other essential tasks are completed.


CONCIERGE SHIFT DUTIES- Please add as required

  • Read the Daily Log to get caught up on any issues or incidents
  • Start new log sheet for the day, fill out as required
  • Close the POS sales for the day (Daily) and reports done every Friday morning
  • Always bring the iPhone and keys if leaving the desk
  • Check the menu on the Wellings Portal to ensure accuracy
  • Turn on lights in Atrium at 9:00 am
  • Make coffee for Bistro area, restock if needed
  • Uncover the pool table and shuffleboard tables, store the covers in the elevator room
  • Check washrooms for cleanliness and supplies (Located in bathroom hall closet)
  • Deliver newspapers or call for pickup
  • Fill out/notify maintenance of any maintenance requests on Wellings App
  • Retrieve resident's cars for them upon request
  • Assist residents with groceries/heavy items to their apartments
  • Provide residents with information as requested (phone numbers, addresses for services etc. DO NOTprovide personal contact information for other residents or staff)
  • Assist with events
  • Keep bistro tables and counter clean and organized
  • Ensure iPhone is fully charged
  • Ensure iPad is fully charged
  • Turn on music in Atrium at 11:00 am
  • Ensure all forms in the desk binders are well stocked
  • Stock/Organize promotional materials on desk
  • Add/Edit items on the Welling Digital Screen Board
  • Ensure outgoing mail is picked up by the postal worker when incoming mail is being dropped off
  • Process payments for housekeeping services and guest meals. Ensure services and guests are noted in the appropriate binders
  • Take/Type Meeting Minutes and submit to Rachel for approval before distribution, add to the meeting minutes binder
  • Assist residents with iPads
  • Notify chef of any guests attending dinner, if dinner delivery is requested, or a meal has been requested to be saved and what items have been ordered
  • Disinfect desk, phone, and keyboard etc. (housekeeping cart has spray)
  • Notify housekeeping of any concerns
  • Notify housekeeping staff for service requests
  • See Weekend Duties/Extra Time for additional tasks
  • Leave desk tidy for oncoming shift
  • Notify oncoming shift of tasks that need to be completed/important information

  • Deliver newspapers (if not finished)
  • Continue filling out daily log
  • Fill out/notify maintenance of any maintenance requests in the book
  • Retrieve residents cars for them upon request
  • Assist residents with groceries/heavy items to their apartments
  • Provide residents with information as requested (phone numbers, addresses for services etc. DO NOTprovide personal contact information for other residents or staff)
  • Assist with events
  • Keep bistro tables and counter clean and tidy
  • Turn on iPad music for dinner (if not already on)
  • Turn off iPad music at 9:00 pm (if on)
  • Turn off lights that don't need to be on (fitness room, etc.)
  • Ensure the Salon fan is turned off by 9:00 pm.
  • Organize promotional materials on desk
  • Process payments for housekeeping services and guest meals. Ensure services and guests are noted in the appropriate binders
  • Check with kitchen to see if help is needed for dinner
  • Distribute any memos or information at dinner
  • Turn top 4 lights off for dinner
  • Put chairs back in correct position.
  • Tidy Atrium (straighten up pillows, blankets, common areas etc.)
  • Cover the pool table and shuffleboard tables (covers stored in elevator room during the day)
  • Turn off Atrium lights at 9:00 pm
  • Ensure no dishes are sitting in the hallway if dinner has been delivered to any residents
  • Ensure phone is fully charged
  • Ensure iPad is fully charged
  • Lock door at 10:00 pm (ensure both the latch is secured upwards and the handle is engaged in the locked position, the FOB attachment will automatically lock at 10:00 pm)
  • Disinfect desk, phone, and keyboard etc. (housekeeping cart has spray)
  • See Weekend Duties/Extra Time for additional tasks
  • Leave desk tidy for oncoming shift
  • Notify oncoming shift of tasks that need to be completed/important information

  • Make sure door is locked (latch secured upwards and handle engaged in the lock position)
  • Walk the entire building every hour to do a security check make sure all doors are locked.
  • Read the Daily Log to get caught up on any issues or incidents
  • Take desk garbage/recycling to garbage room
  • Lights off in fitness room
