Processes correspondence, faxes and photocopies, and receives and distributes mail.
Job Duties/Responsibilities - 1. Greets visitors; answers, screens and forwards calls; provides information; takes messages and schedules appointments. Refers nonroutine enquiries accordingly.
- 2. Word processes correspondence, forms, reports and related materials.
- 3. Performs a variety of clerical duties. Receives, sorts, opens and distributes mail; processes mailouts and shipments; creates, maintains and updates files, databases and records; faxes and photocopies; and organizes displays and marketing materials.
- 4. Compiles, reviews and updates information on the department website.
- 5. Monitors, maintains and orders office supplies and materials.
- 6. Processes fee payments, as required, and updates records.
- 7. Tracks and compiles data.
- 8. Organizes room bookings, schedules meetings, workshops and events.
- 9. Assists with the preparation of timesheets and absence reports.
- 10. Performs other related duties as required.
Qualifications
- Education and Experience
- Grade 12 including up to 1 year of commercial training and 9 months' related experience or an equivalent combination of training and/or experience may be substituted for the required qualifications.
Skills and Abilities- Proven interpersonal skills with the ability to work both independently and collaboratively as a member of a team.
- Ability to handle situations professionally and with tact and diplomacy.
- Good organizational and time management skills with the ability to prioritize and manage several timesensitive tasks at any given time. Works effectively in a stressful and demanding environment with frequent interruptions.
- Excellent oral and written communication skills. Business English.
- Cultural awareness and sensitivity.
- Accurate keyboarding skills of 45 nwpm. Attention to detail.
- Superior clerical skills and sound knowledge of modern office practices.
- Flexible and adaptable.
Salary Range - Prorated based on FTE
