Program Support, Counselling and Treatment
Full-Time, Contract (Ending January 13, 2024)

London, Ontario

This role will support the Manager and staff of Counselling & Treatment Programs and will be responsible for managing the administrative aspects of day-to-day program functions, including reception and data entry.

What you'll be making:


  • $19.86 to $22.88 per hour (Program Support II Grid)
  • The above are initial rates; with grid increases as per policy
  • Internal staff members will be placed on the appropriate grid based on their current rate of pay, up to Level 8 of the grid (see Intranet Policy )

When you'll work:

  • 70 hours over twoweek period, Hours will be Monday to Friday including daytime shifts 8:30am4:30pm and one evening shift 12pm8pm

HOW YOU WILL BE MAKING A DIFFERENCE:


_ Program Support:
_


  • Assists with written reports and proposals with regard to the programs and services within Counselling & Treatment Programs, including the expansion and/or modification of services, and to meet documentation and reporting requirements of funding and accreditation bodies
  • Works with the Director, Manager(s), Team Lead(s) and staff to create and revise systems and program procedures by analyzing operating practices, recordkeeping systems, forms consistency, and assists to implement change
  • Works with the Director, Manager(s), Team Lead(s) to ensure effective communication within the program areas
  • Works cooperatively and effectively with others to make decisions to enhance organizational effectiveness
  • Undertakes selfdirected tasks when necessary
  • Anticipates, understands, and responds to the needs of staff to ensure smooth operation of services
  • Acts as a communication liaison within programs and other organization programs, as well as between other stakeholders and partners

_ Administrative Support:
_


  • Provides administrative support and assistance to the Director, Manager(s), Team Lead(s) and organization staff, including assisting with the development and maintenance of departmental correspondence, documentation requirements, procedures, forms, reports, meeting preparations, etc.
  • Provide data entry, file management, generating of reports, and other database work
  • Booking and managing of agency inperson and virtual appointments within multiple Outlook calendars and various scheduling systems including virtual platforms
  • Refer inquiries to the appropriate individuals across the organization
  • Maintain, sort and manage incoming electronic correspondence folders
  • Provides accurate minutetaking at meetings for all programs within the organization and ensures that minutes are submitted in a timely manner
  • Assists with coordinating and/or compiling accurate and comprehensive regular and special statistical reports to meet organization and funder requirement
  • Maintains accurate files and ensures that paperwork is completed for other areas within the organization
  • Prepares and reviews program material, forms, presentations, literature and promotional materials
  • Prepares and maintains various departmental reports, policies and procedures, meeting preparation, etc.
  • Provides support to staff with regard to equipment and supply needs
  • Provides telephone reception during regular hours
  • Provides back up support to reception desk for vacation or sick calls

_Training:
_


  • Registers staff for professional development opportunities
  • Assists HR in compiling staff lists for internal organization training or functions and registers staff as required
  • Aids program staff with regard to the use of office technology such as computers and database functions while liaising with IT personnel
  • Performs other duties and responsibilities consistent with role

WHAT YOU'LL NEED TO APPLY:


_ Police Vulnerable Sector Check Requirements_

We require the following qualifications:
_**- Post-secondary education or equivalent work experience
(primary proof of credentials will be required during the hiring process i.e.

original degree/diploma or official transcript):


  • Clear, current Police Vulnerable Sector Check (PVSC)
  • Demonstrated ability to attend work regularly
**_

We prefer the following qualifications:
_**- 2 years of direct work experience in an administrator/reception role, preferably in a social service agency, required

  • Extensive working knowledge of MS Office Professional and strong computer skills
  • Demonstrated judgment, problemsolving, and organizational skills
  • Flexibility and adaptability to changing
