Looking for a new and exciting job opportunity? We are looking for an Administrative Assistant to join our team


What You Will Do

  • You will report to the Head, Sustainable Innovation, and provide administrative, secretarial support and provide efficient and effective administrative and office support services for the Department. The role may carry out or coordinate special assignments and tasks as directed and provides guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.
  • You will plan and coordinate the daily activities/calendar for the Head of Sustainable Innovation.
  • You will provide meeting support for various meetings for the Department.
  • You will prepare and/or assist in the preparation of documents, presentations, and reports, and distribute to the appropriate parties in accordance with established standards.
  • You will coordinate, prepare correspondence, and/or communicate verbally with others to ensure accurate and timely communication of information; handles confidential and sensitive information on a regular basis.
  • You will monitor, track and maintain information/data/records/files, following up, and updating as required.
  • You will provide administrative and office support and perform a variety of administrative duties related to assigned work.
  • You will provide guidance, expertise and advice, and make recommendations for improvement regarding areas related to assigned work.
  • Additionally, you will act as the telecommunications and IT rep for the Department.
  • You will liaise with Group/Department staff, other Groups/Departments, and/or external organizations concerning matters regarding assigned work.
  • You will further assist and/or prepare the department's administrative operating budget, capital budget, other budgets and/or cost estimates as required for the department and may monitor expenditures.
  • You will coordinate and/or provide training to staff, including arranging for training and providing guidance relative to the resolution of problems.
  • You will ensure to maintain all employee files.
  • You will participate and assist with special projects and activities as directed.
  • You will act as the Parking Coordinator for the Department.

What Qualifications Do You Bring

  • Your educational background will consist of a college diploma or university degree in a related discipline or combination of education, training and experience deemed to be equivalent.
  • You must have good knowledge of research methodology and techniques.
  • You must possess sound judgement; excellent organizational, interpersonal, oral and written communication skills (grammar, punctuation and spelling).
  • You must have proven ability to handle several responsibilities at once, under mínimal supervision and the ability to work in a team environment.
  • You will be required to participate in the TTC's Customer Service Ambassador Program.
