Would you like to help organizations create healthy workplaces? We are looking to fill one or more Administrative Coordinator positions.

Reporting to the Director, Professional Services, and working closely with a team of conflict resolution professionals, the incumbent will play a key role in document management, tracking deadlines and ensuring compliance with Latitude's internal processes for investigation and workplace climate analysis.

We are looking for someone who is rigorous in their work, able to collaborate effectively within a diverse team, and willing to adapt quickly to change and new situations.

Responsibilities:


  • Take responsibility for the administrative management of investigation files and work climate analyses, including the process of opening and closing files, processing exhibits, coordinating meetings, sending and tracking the receipt and conformity of multiple documents, preparing draft reports, including the formatting of documents, while closely monitoring deadlines;
  • Organize and electronically file documents in the Latitude database;
  • Ensure the security of confidential documents;
  • Verify compliance of files with Latitude's best practices and internal processes;
  • Contribute to the continuous improvement of internal records management processes;
  • Support Latitude professionals in managing deadlines and budgets;
  • Collaborate with Latitude's administrative team to provide high quality information regarding files;
  • Participate in the billing process.

Experience and skills required:


  • Minimum of one (1) year experience in a compliance, coordination or administrative support position;
  • College diploma or undergraduate university degree in an appropriate field of specialization;
  • Fluent oral and written French with advanced knowledge of English (spoken and written);
  • Strong oral and written communication skills;
  • Attention to detail, rigor, consistency and a methodical approach;
  • Strong organizational skills and ability to manage priorities;
  • Thorough knowledge of Office suite software, in particular Word, Outlook, SharePoint and Teams;
  • Hybrid work required 3 days in person;
  • Ability to maintain confidentiality and act with discretion;
  • Team player and collaborative; and
  • Positive, open and flexible personality.
