We are seeking a
Coordinator, Document Processing for an
evening full-time position Mondays to Fridays, 5:00pm to 12:30am, to join our team.

This role can be based
out of any of our offices nationally.


Reporting to the Supervisor, Document Processing, with a dotted line reporting relationship to the National Manager, Document Processing, this position will primarily be responsible for coordinating the operations of the department to ensure delivery of service excellence.


This is a business service of the Firm providing critical support to internal clients and requires the incumbent to be an extremely responsive, proactive and communicative individual.

It would particularly suit someone currently working in a law firm with lead responsibilities, superior client service and technical skills.


Key Responsibilities:


  • Workflow Coordination_
  • Monitor the queue and status of requests to ensure work requests are being processed and/or on track for completion, including assigning and/or reassigning requests amongst team members as required;
  • Regular communication with clients, team members and/or Supervisor as it relates to the completion of individual work requests to meet/exceed standards;
  • Escalate to Supervisor any concerns or issues that require attention as well as any identified development/training needs;
  • Perform quality review and/or ensure quality control is in place, as required;
  • Providing guidance and instruction to team members, as required;
  • Ensure fax monitoring coverage is in place;
  • Mentoring new and/or junior members of the team.
  • Document Production_
  • Perform various document production tasks such as:
  • converting documents from PDF to Word with the use of Firm software such as PaperPort/OmniPro and DocX tools, including formatting, cross-references;
- mail merges;
- creating PDF fillable forms, and manipulation of PDFs via AdobePro including hyperlinking, bookmarking, insertion of page numbers, and redaction;
- editing and manipulating spreadsheets via Excel;
- creating or editing PowerPoint presentations, organizational charts, or drawings; and
- photo/image manipulation.

  • Troubleshooting and Technical Support_
  • Handling support calls, including remote connectivity, to provide on demand support to troubleshoot and provide technical expertise to legal professionals.

What you'll bring:


  • 69 years of combined working experience as team coordinator and as a document processing specialist in a similar environment;
  • Expert level proficiency and working knowledge of Microsoft Word, Excel and PowerPoint, DocX Tools;
  • Exceptional communication skills, client service skills and professionalism;
  • Working knowledge of document processing concepts, methods and technical capabilities;
  • Working knowledge of proofreading practices;
  • Ability to relate, be assertive and effectively communicate well to provide mentorship, motivation and work direction to team;
  • Demonstrated ability to plan, organize and coordinate the work of others;
  • Ability to be accountable for performance and champion the quality delivery of service;
  • Demonstrated ability to work under pressure of tight deadlines, competing priorities and high volume;
  • Ability to think in a logical manner, demonstrate independent judgment and solve problems.
