SUMMARY:
Employment Opportunity at Immaculate Heart of Mary Church,
Ottawa - Full-time Office Manager


RESPONSABILITIES AND TASKS:


Supervisor Duties

  • Give money to housekeeper for groceries.
  • Ensure groceries bought are for rectory and what they are. Verify in fridge as well.
  • Coordinate communications between the priest and employees.
  • Verify if the work is done.
  • Verify employee are at work.
  • Verify employee working hours.

Human Resource Duties

  • Conduct work performance evaluation on a regular basis (monthly for the time being).
  • Keep payroll information up to date.
  • Keep tract of sick days and vacation days.
  • Ensure hours of work meet criteria of Ministry of Labour rules and regulations.
  • Ensure proper work wear is worn at all times.
  • Follow through on complaints from employees and the priest.
  • Perform routine fire and health inspection.
  • Make arrangement to insure fire and safety or up to codes.

Operations Manager Duties

  • Ensure security of the place by ensuring doors are locked and security system is operating properly.
  • Review and renew parking agreements.
  • Review and renew snow clearing agreement.
  • Ensure proper signage is outside and inside.
  • Call contractors for small repairs.
  • Coordinate with contractors for proper times for repairs.
  • Call contractors for quotes of larger repairs.
  • Ensure contractors have proper insurance coverage.
  • For those contractors that finance council have arranged for, verify they are here and that they are working, and all documentation is in the office.
  • Coordinate with contractor, caretaker, the priest and the person responsible for contracts.
  • Coordinate with diocese to ensure proper protocols are followed.
  • Coordinate and assist Finance Council to ensure proper protocols are followed.
  • Assist in final inspection of work before last payment is done.

JOB REQUIREMENTS AND SKILLS:


  • At least two years of significant experience in similar positions.
  • Experience in office administration, including Bookkeeping.
  • Knowledge of
    the Roman Catholic Church and its hierarchical functioning would be considered an asset.
  • Knowledge of occupational health and safety issues
  • Excellent communication skills (oral and written) in both official languages.
  • Ability to work with incomplete information or under pressure.
  • Ability to come up with innovative solutions in the workplace and try new and varied approaches to dealing with problems.
  • Ability to manage multiple files simultaneously and meet deadlines, while delivering quality results.
  • Known for rigour, integrity, confidentiality and autonomy.
  • Be compassionate and patient.
  • Excellent knowledge of MS Office Suite.
  • Recent Enhanced Police Information Check processed by the parish.

WORK CONDITIONS AND LOCATION

  • 1758 Alta Vista Dr., Ottawa;
  • Permanent, Full-Time 30 hours per week starting May 30, 202
  • Monday to Friday;
  • Extended periods of sitting;
  • Work in an office environment with individual office;
