Project Coordinator (Construction Administrator)


Reporting to the Construction Manager, the Project Coordinator will be responsible for all project administration of construction projects, consisting of: assisting in vendor onboarding; vendor price agreements; subcontract agreements; purchase orders; file creation; Information documentation/management; assisting the field team with information or communication with team members or vendors; scheduling; organizing and reporting for the active construction projects.

The Project Coordinator will liaise with the Senior estimator, Site Staff, and Architectural Technologist in vendor, sales, or customer meetings to assist in meeting minutes, documentation, and communication.


Responsibilities

  • Onboard new trades and or suppliers ensuring they sign all required paperwork, complete vendor price agreements, and review key processes and expectations.
  • Liaise with the Senior Estimator to ensure Vendor price agreements are accurate and current in the ProContractor system.
  • Communicate stakeout dates for singlefamily construction.
  • Prepare subcontracts and purchase orders from estimates.
  • Issue all POs and subcontracts to trades and suppliers.
  • Track and ensure all subcontracts have been signed prior to the commencement of site work.
  • Prepare job binder for site supervisor including plans, specifications, engineering, customer selections, and change orders.
  • Enter/ monitor construction schedules and provide reporting to the Construction Manager.
  • Attend production and construction meetings, take meeting minutes, and distribute after each meeting in a timely fashion.
  • Attend customer site meetings when required to coordinate takeaway tasks and any followup communication.
  • Liaise with the Construction Manager in the planning and coordination of any development, commercial, or office projects.
  • Review Invoices that don't match subcontract or purchase orders and issue subcontract change orders and VPOs as required.
  • Provide reporting on job budget variances to the Construction Manager.
  • Liaise with the Senior Estimator in constructing sales options in ProContractor and coordinating and updating vendor price agreements.

Requirements:


  • Completion of a Construction, Building Technology Diploma or equivalent technical diploma.
  • E.T. certification is considered an asset.
  • 3 or more years of Construction experience
  • Ability to read blueprints, schematics, field drawings and plans
  • A solid understanding of all construction trades and construction techniques
  • Understanding fundamentals of contracts and experience in managing contractors under the terms of a contract
  • Knowledge of OH&S regulations and related building codes
  • Resultsoriented individual with the ability to interpret and effectively manage multiple and competing priorities and timelines
  • Demonstrated success in project delivery and execution methods
  • Able to build and maintain lasting relationships with business units, corporate departments, key managers, and other
  • Demonstrated ability to exercise necessary costcontrol measures
  • Working knowledge of Microsoft computer software (e.g. Excel, Word, Outlook, Teams, etc.)
  • Possess a valid driver's license
  • First Aid skills and/or certificates are considered assets
  • Flexibility to adjust to shifting priorities and

Conditions

  • Travel to the site and offsite locations will be required
  • Will be exposed to construction sites
  • Safety equipment will be required, e.g. steeltoed safety boots, safety glasses/goggles, etc.
