Office Services Manager

Status:
Permanent full time


Location:
North York, ON. This is an on-site role 5 days/week


The
Office Services Manager is responsible for the smooth and cohesive functioning of lifemark's National office, coordinating the administrative, operational and maintenance needs.

Specific accountabilities will include greeting/orienting guests and visiting staff, the onboarding of new employees, the management and distribution of incoming and outgoing mail and courier packages, management and set-up of meeting room bookings, and ordering supplies for the office.

The
Office Services Manager will work closely with the Executive Leadership Team to provide assistance with the preparation of reports and presentations, schedule management, event planning, and coordinating travel arrangements.

Other general responsibilities include:


  • 1st point of contact for office/security, building management, & cleaning staff
  • Coordinate provision of building access cards
  • Meeting room maintenance & booking coordination
  • Place catering orders for meetings & organize delivery timing
  • Office mail and courier services coordination
  • Procurement of office supplies

Who we are looking for:


  • A dynamic, friendly professional with a positive attitude
  • 3+ years of experience as a receptionist/office coordinator supporting multiple executives
  • Excellent ability to stay organized, superior time management skills, with a keen sense of task prioritization
  • A Bachelor's degree or college diploma in a relevant domain, or an appropriate amount of practical experience within the area of office administration and reception
  • Previous experience with calendar management
  • A high level of proficiency with Office 365, specifically Teams, SharePoint, Outlook, Excel and PowerPoint
  • Strong comfort level with preparing/collating presentation material
  • Familiarity with booking travel across Canada
