Summary:

The Documentation Controller / Buyer / Coordinator provides support to the Plant in many different areas as outlined below. This position interacts daily with all Associates at the Plant and many departments within the company.


Duties & Responsibilities:


Documentation Controller 40% of the time:

  • Documentation updates, manages data base to ensure proper revision control, manages documentation libraries on the production floor, prints new revisions based on Engineering Change notices. Manages the documentation libraries throughout the facility.
  • Prepares training attendance forms for doc changes based on Engineering Change Notices for ongoing production training and awareness. Coordinates document training activities with Production Manager
  • Uploads and manages training records within QPulse
  • Key participant in both internal and external audit activities
  • Manage the employee training databases, including Q-Pulse and training matrices, working with plant and production management to ensure that yearly process and equipment recertification training exercises remains todate
  • Assists maintenance and manufacturing engineering with document creation, process changes and updates for new and existing equipment, (WI's, MI's, LOTO) as required

Plant MRO Buying: 20% of the time:

  • Creates PO's for all Plant / Production consumables, production supplies, health and safety supplies, production small tools, office, maintenance, kitchen and sanitary / cleaning supplies, sewing machine parts, and equipment consumables eg needles, oil etc.
  • Creates PO's and tracks for receipts of nonevident goods for all Plant related preventative and maintenance services, eg snow plowing, grass cutting, Compressor / Dryer quarterly maintenance, Roof top HVAC units, Cleaners, Garbage and Recycling pick up

Health and Safety Co-Ordinator, 15% of the time:

  • Health and Safety Team member, prepares minutes, maintains SDS sheets, coordinates monthly inspections, and helps co-ordinate legislative requirements, eg. LOTO audits, training.
  • Reports weekly and monthly H&S activities and tracks actions and outstanding health and safety initiatives
  • Assists maintenance with scheduling of mandatory equipment inspections, recertifications of lifts and equipment training

Support for HR related activities, 15% of the time:

  • Works with Human Resources to on-board new employees, both RFT and Casual, ensures orientation and onboarding activities are completed and training records are completed
  • Manage the employee training databases, including Q-Pulse and training matrices, working with plant and production management to ensure that yearly process and equipment recertification training exercises remains todate
  • Assist with arranging special events, coordination of HR driven activities and all staff initiatives
  • Coordinates yearly legislated training activities on policies and procedures and other as necessary, eg, WHMIS
Financial / A/P / Employee related activities, 10% of the time:

  • Manages petty cash fund, cheques, prepares receipts and monthly summary to finance
  • Tracks invoices for PO's, prepares receipts for nonevident goods to ensure received in ERP and sent along to finance for payment
  • Manages kitchen supplies, maintains coffee machines and other kitchen equipment
  • Participates in the social committee and assists with plant tours and activities
  • Maintains headcount list, key holder list, security access list, emergency call out list, vendor and contractor lists and Business Continuity plans
  • Participates in special projects as required

Qualifications:


  • Grade 12 or equivalent.
  • A minimum of 3 years working in an administrative role
  • Minimum 2 years' experience in an ISO Certified Manufacturing Environment.
  • Proficient with computers and Microsoft programs such as Excel, Word and PowerPoint
