Athletics & Recreation


The Department of Athletics and Recreation (A&R- a division of Student Affairs) provides students, staff, faculty, alumni and the greater community the opportunity to pursue athletic excellence and recreational activities.

The mission of the department is to cultivate human potential and well-being through recreation and sport. The operating units of the department include interuniversity athletics, recreation, and sport medicine.

The Department is seeking a highly motivated, experienced, and energetic individual to provide leadership as the Coordinator, Varsity and Club Operations.

This individual will be instrumental in the administration of Marauders teams and clubs and will have an opportunity to help the department achieve its goals of inclusive excellence and strong results while delivering an excellent student-athlete experience.


Job Summary


We are looking for a Coordinator, Varsity Operations with good organizational and interpersonal skills to support Varsity operations within A&R by coordinating and providing logístical support for sporting events.

The coordinator must have experience collaborating with coaches, student leaders, and members within A&R and broader campus and community to ensure high level of service and support is provided to organizers and participants.

The Coordinator, Varsity and Club Operations is critical to the success of all Marauder sport programs.


Representative Duties & Responsibilities

  • Administer sport programs in accordance with the sport model.
  • Create and maintain institutional compliance of Ontario University Athletics (OUA) policies, including eligibility, recruiting, and out of season competitions.
  • Liaise with internal contacts, external suppliers and other stakeholders to ensure smooth operation of activities and events.
  • Verify and document eligibility of all sport event participants.
  • Plan and coordinate a variety of events (including OUA and other provincial championships) and activities for the department, including travel, board and food for offcampus competition and events.
  • Schedule internal meetings and provide team updates regarding the administration of the program.
  • Plan and coordinate training for coaches.
  • In collaboration with interuniversity coaches, develop processes and protocols for the recruitment of student athletes.
  • Meet with and respond to general inquiries from prospective students and provide information regarding additional support services available.
  • Maintain and ensure the confidentiality and safeguarding of student files.
  • Maintain and update information in student database such as medical, biographical, academic and eligibilityrelated information.
  • Make recommendations to improve the delivery of studentathlete services and the implementation of changes.
  • Liaise and develop relationships with internal departments to advocate for the unique studentathletes challenges.
  • Schedule internal team meetings.
  • Collect, analyze, assess, and summarize information relevant to the decision making process and develop recommendations for final approval and implementation.
  • Support with the set up and take down of equipment for events.
  • Write and update a variety of documents and correspondence, including letters of appointment and program evaluations.
  • Remain current on governance procedures, University policies and the judicial processes that govern interuniversity sports.
  • Act as department representative for various committees.
  • Update and maintain the program budget for review and approval.
  • Prepare estimates of time and resources for events and activities.
  • Provide administrative support for coaches and managers.

Supervision:


  • Provides functional guidance to others on an ongoing basis.
  • Ensures adherence to quality standards and procedures for work study employees and volunteers.

Qualifications:


  • 2 year Community College diploma in Sports Management, Physical Education or related field.
  • Requires 3 years of relevant experience or a combination of education and experience working in a academic athletic environment.

Additional Requirements:


  • Welldeveloped interpersonal and written/oral communication skills, using clear and concise language, with particular attention to tact and professional tone.
  • This role requires initiative and the exercise of good judgment.
  • Ability to work independently and as part of the team.
  • Excellent customer service and personnel management skills.
  • Must have strong working knowledge and understanding of Ontario University Athletics (OUA) sports.
