Responsibilities and Duties will include but are not limited to:
Account Receivable Duties:
- Collect all required information prior to generating an invoice
- Generate invoices for spill jobs, rollovers, accidents, jackknifes or any other invoices as required and send out to customers as soon as the job is completed
- Process invoices for payments by various transactions
- Prepare bank deposits and process EFT payments into the system
- Make sure all the cheques have been deposited into the system so that there is no interference when there are monthly reconciliations
- Collect receivables and follow up with customers on past invoices in a timely manner
- Make recommendations on accounts for bad debts, collections, or legal action
- Communicate with various insurance companies for numerous issues in an approachable (friendly) manner
- Ensure that all cash call payments were received by dispatch at the time of service
- Ensures credit is received for outstanding memos
- Collect revenue by reminding delinquent accounts; notifying customers of insufficient payments
Accounts Payable Duties
- Collect, analyze, verify bills for payments and check requests
- Sort, code, match also enter bills and set up the payment before the due date
- Correspond with vendors and respond to inquiries
- Perform day to day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables' data
- Post transactions to journals, ledgers, and other records
- Verify vendor accounts by reconciling monthly statements and any other related transactions
- Provide and update regularly credit card information for automatic payments to vendor's
- Process any expenses paid out of pocket for reimbursement
- Enter expense receipts in the system such as fuel expense, office supplies, etc
- When sending out payable cheques fill out in the spreadsheet with date and time
- Issue stoppayments or purchase order amendments
General Duties:
- Purchase several types of permits as required by the company
- Enter any missing invoices/bills from the system
- Data entry and maintain customers/vendors account electronically as well as hard copies
- Manage and maintain historical records by filing accounting documents
- Create, update spreadsheets, and produce various financial reports in Excel as required
- Create cheques as needed
- Provide PO numbers to vendors and request PO numbers from customers as required
- Research and resolve invoices/bills discrepancies and customers/vendors queries
- Flag and clarify any unusual or questionable invoice items or prices
- Maintain petty cash by recording and verifying in documentation
- Reconciling HST, GST, payroll taxes, etc
- Fullcycle accounting and payroll entries
- Perform bank and account reconciliations
- Process and review all fuel reports daily
- Monitor and review all IFTA reports
- Analyze new and existing accounts, set limits and payment terms according to Champion Towing's credit policy
- Ensure statements are sent out and received by customers/vendors every 15 days
- Cover duties in the absence of a coworker
- Other accounting and administrative duties as assigned by supervisor or manager
Qualifications:
- A minimum of 3 years of experience in finance/Accounts Payable and Accounts Receivable, or a combination of education and experience will be considered
- Postsecondary education in accounting an asset or the equivalent will be an advantage
- Excellent understanding of Word, Excel, and Outlook
- Proficient in data entry and management
Knowledge, Skills, and Abilities
- Knowledge of the principles of bookkeeping and accounting procedures
- Experience with accounting software like QuickBooks, Dispatch Anywhere, etc
- Excellent time management, organizational skill and adaptability to learning new programs
- Demonstrate the ability to work professionally, respectfully with a positive attitude in a fastpaced working environment
- Customer serviceoriented and good negotiation skills
- Excellent verbal and written communication skills
- Ability to maintain the confidentiality of all written and oral communication
- Ability to work in both a team environment and individually
- Highly organized with the ability to prioritize multiple tasks and meet deadlines
- Strong analytical and problemsolving skills
- Must be able to deal with difficult customers
- Ability to handle stress, think creatively, and strong attention to details
- Be flexible and able to adapt to change in a positive manner
