Description
We are seeking an Office Manager to join our BPA team in Missisauga, ON.

The Office Manager is responsible to manage the Toronto office and service all Toronto clients' members in compliance with BPA guidelines, policies, and procedures for both claims and administration purposes where applicable.


The Office Manager will:


  • Actively oversee the daytoday activity of the Administration, Claims and Pension department staff to maintain client service standards
  • Adheres to and maintains BPA service standards to the client and ensures an exceptional level of customer service throughout all departments
  • Actively engage as a positive role model, representing the BPA brand and its core values, fostering a positive experience for all employees and external contacts
  • Learn and understand the applicable Collective Agreement pertaining to the Health and Wellness Plan administered in the Toro office and the benefit entitlements as per the benefit plan summary
  • Be responsible for evaluating administration, pension, and claim metrics within the service standards of the Company to meet production expectations as established by BPA Management
  • Provide administrative support as needed including scheduling, ordering supplies, updating contact and employee listings, managing the office infrastructure, equipment, and resources
  • Act as the main point of contact for the client, analyze issues and requests brought forward by the client or staff, and provide alternative solutions and direction based on established policies and procedures.
  • Assist in training and onboarding of new staff and develop skills of existing staff members. Maintain personnel files and act in accordance with BPA governance and HR practices and policies. Conduct yearly performance evaluations
  • Maintain system data integrity and report any issues to the IT and systems team. Provide alternative solutions to IT challenges to mitigate operational impact of technological interruptions
  • Review and verify benefit premium rates and distribute monthly disbursements
  • Respond to Canada Revenue Agency and to legal inquiries related to members
  • Ensure tax related deadlines are met for various trust funds
  • Provide periodic reports to Boards of Trustees and Auditors of various trust funds
  • Maintain security and confidentiality of client records
  • Other duties as may be assigned by management

To be successful
as an Office Manager with BPA, you will need**:

  • 5 or more years of related working experience
  • Or 10 years of related working experience of which at least 2 years are in a supervisory position
  • Equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved
  • University Degree or related business training from a recognized educational institution
  • Equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved
  • Knowledgeable on relevant Collective Agreement and associated benefit plan
  • Compliant with government regulations pertaining to the Privacy Act (PPEIDA)
  • Strong problemsolving skills, able to think critically and make decisions in unfamiliar situations
  • Excellent written and verbal communication abilities
