We are currently looking for a highly skilled, caring, and safety focused individual based out of our Ottawa office. In this role, you will report to the Office Manager. The Contract Administrator is responsible for managing the contracts between the company, clients, and our Trade Partners. The Contract Administrator will execute the contract process while ensuring accuracy and a high attention to detail.

Responsibility:


Here's What You'll be Responsible for:

  • Type and Format Contracts and Contract Revisions and distribute through the Project Management system
  • Enter Contract Values in both the Accounting and Project Management system
  • Enter Original Budget, Process Change Orders and budget changes in both the Accounting and Project Management system
  • Update Project Teams on contract statuses and changes
  • Ensure understanding and management of contracts
  • Resolve any contract conflicts that may arise
  • Ensure contract execution is in accordance with business specifications and company practices and procedures
  • File contracts according to projects and maintain the contract database
  • Maintain an audit file for each contract which will include original contracts, changes, amendments, clarifications, cancellations, etc.
  • Work with various departments to obtain the necessary contract inputs
  • Develop and maintain a filing system for both paper and electronic files
  • Prepare and balance budget reports monthly
  • Enter and maintain contact directory and project list
  • Prepare and distribute project start up documentation and forms
  • Support to Estimating Department during tender closings, when required

Qualification Requirements:


  • Minimum 3 years of relevant experience in an office environment. Considered an asset if have experience in the ICI construction industry.
  • Welldeveloped skills and experience with using Microsoft Office products such as Word, Excel, Visio, Project, and PowerPoint
  • Knowledge of office management systems and procedures
  • Proven ability to establish profitable relationships with internal and external stakeholders
  • Computer literate, including proficiency with Microsoft Office Suite, and Microsoft Project
  • Knowledge of Procore is considered an asset
  • Ability to handle confidential information.
