Our services change lives, with the fastest internet service available today. Operating from our corporate headquarters in Stouffville we are expanding to other towns in York and Durham regions.

As a result, we are seeking a professional Office Manager to help support our management team as we add facilities and employees.


Summary:

Reporting to the Chief Administration Officer, the Office Manager will have three primary accountabilities:
i) ensuring we comply with our Heath and Safety obligations,
ii) managing our facilities, including being the point of contact with our landlords
iii) managing our growing fleet of vehicles including scheduling routine maintenance


RESPONSIBILITIES:


  • Support the Senior Management team in the development of the company's Health and Safety Policy.
  • Encouraging the team members to be aware of the health and safety culture we are engendering.
  • Secretary of the Health and Safety Committee.
  • Compilation, updating and distribution of Health and Safety related documentation as required by legislation or Company policy.
  • Plan annual H&S training for all telMAX employees.
  • Manage the company's fleet of vehicles. This includes assistance with procurement, fleet management, maintenance and safety routines including advanced driver training.
  • Administration of the company gas cards.
  • To assist in the acquisition of new offices and business premises as needed.
  • To manage the daytoday office locations ensuring that there are adequate supplies for the staff, including refreshments and stationery. Work closely with IT to ensure employees have access to appropriate IT equipment dependent upon office location.
  • Support line managers in ensuring that there are sufficient work stations for employees to work at, manage third party equipment suppliers
  • Coordinate all office maintenance needs with landlords and with vendors for leasehold improvements.

REQUIREMENTS AND SKILLS:


  • Demonstrated experience in office administration.
  • 3+ years of relevant experience.
  • At least 2 years previous experience in Health and Safety.
  • Excellent communication and organizational skills, both oral and written.
  • Strong people skills, ability to prioritize tasks.
  • Ability and confidence to instill core safety values.
  • Ability to interact with all levels of staff, peers, coworkers, and colleagues with a high degree of professionalism.
