DURATION OF PROGRAM: 6 weeks - July 2 to August 13, 2023

(Pre-program staff training from June 28-June 30, 2023)


The Activity Manager is responsible for assisting in the successful delivery of the social component of the ILSC Residential Juniors program, ensuring that the activities and field trips are stimulating, structured, and inclusive, and that the welfare, safety and discipline of the students are paramount.

This includes overall responsibility for the planning, logistics and successful delivery of all on-campus activities and off-campus field trips. The role requires an experienced leader, capable of managing a team of 10+ staff members.

This is a key management position and is a combination of an administrative and supervisory role. This is a full-time, fixed-term position. Due to the nature of the work, your hours may vary and may be irregular. The Activities Manager is required to live on-site at the residence. Accommodation and meals are included during this summer post.


The schedule timeline and hourly requirements are as follows:

  • Full time hours on-site at UBC will begin on June 28, 2023, until August 13, 202
  • Pre-program staff training at UBC will take place from June 28, 2023, to June 30, 202
  • Your weekly work schedule will consist of six consecutive days of work, followed by one full day off per week
  • Remuneration is $1050/week

Duties and Responsibilities
The job duties of this position include, but are not limited to:

Program Set-up and Closure

  • In collaboration with the Centre Director, participate in the interviewing and hiring of both the onsite and offsite activity leaders for the Juniors summer program at UBC
  • Assist in setting up the Juniors Program in advance of students' arrival, including unpacking, distribution, and storage of program materials
  • Ensure sufficient Juniors Program signage is displayed appropriately.
  • Complete a full inventory of program materials such as Tshirts for students and staff, Compass cards, SIM cards if required, lanyards etc. and monitor usage, reporting any missing or damaged equipment to the Centre Director
  • Schedule and arrange all activity bookings for the Juniors Residential Program at UBC, including obtaining quotes, creating/updating reservations and managing the budgeting and invoicing of these bookings
  • In collaboration with the Academics Manager and Centre Director, create and manage policies, procedures, and support systems for the Juniors program at UBC
  • Lead activities meetings at the preprogram training and staff orientation, and daily during the program to review previous day's activities and to plan for following day
  • Welcome the students on the first Sunday of their arrival, coordinating student orientation, providing a tour of the residence and classrooms, allocation of and room checkins, banking needs, calls home and initial "getting to know you" activities
  • Assist in induction of students and group leaders into the program
  • Set up and update the Centre noticeboard daily with sections for notices, academics, and activities, ensuring the weekly and daily plan of activities is displayed in an exciting and attractive way

Activities Program

  • Manage and support the activity leadership team, motivating and leading through example
  • Oversee the Activities Program and adapt as appropriate, in consultation with the Centre Director
  • Assign activity leaders and inform staff of all activities, supervision arrangements and excursions, ensuring appropriate staffing ratios are always respected
  • Promote and build enthusiasm for programmed activities
  • Schedule and confirm all bookings for excursions with vendors, transport companies and operators
  • Monitor expenditures on the Activities Program, providing full receipts and detailed records of expenditures on the Juniors program, ensuring that all expenses are approved by the Centre Director
  • Confirm with school/university staff the use of additional facilities, following approval from Centre Director

Student and Staff Supervision and Support

  • In collaboration with the Academics Manager, support the Centre Director in leading the preprogram staff orientation, ensuring that all team members have a clear understanding of the Juniors summer program, their roles, and responsibilities, and that all staffing schedules have been clearly outlined and shared with staff
  • In collaboration with the Academics Manager, support the Centre Director in monitoring staff working hours and periods of rest and creating staffing schedules
  • Coordinate with the Centre Director and Juniors program staff on arrival and departure duties to ensure the safe arrival/departure of all students
  • Welcome students on the first day, introducing the staff and explaining the academic, social and welfare responsibilities of each Juniors pro
