Overview:


The Communications Officer, Internal and Engagement is responsible for developing a wide range of internally focused communication products in support of the Faculty of Mathematics' strategic initiatives.

Under the direction of the Director, Strategic Communications, the role works closely with multiple Faculty and campus stakeholders to translate strategic initiatives into messages and activities that are relevant at a Faculty and departmental level, with a strong focus on community engagement.

The role requires significant knowledge of internal communications best practices and significant experience project-managing and implementing internally focused initiatives.


Responsibilities:

Implement Communications Plans

  • Provide support and guidance to senior administrators in the Faculty on the delivery of internal communications
  • Ensure consistency of voice and message across all internal channels
  • Manage and coordinate all activity in internal communication plans, including deploying resources and managing risks
  • Provide support and clarification to internal stakeholders and Faculty leaders to ensure they are confident in delivering key messages and to strengthen internal communications aligned with the successful execution of the Faculty Strategic Framework
  • Establish twoway and facetoface communication channels to build employee engagement and reinforce these channels during organizational change
  • Ensure the most appropriate and costeffective channels are utilized and maximize the potential of digital communication channels
  • Ensure the organizational infrastructure (tools, channels, and processes) is in place to deliver highquality and creative internal communications
  • Work closely with the University's and other Faculties' communications teams to align and integrate communications and leverage opportunities for the biggest impact internally
  • In consultation with the Director, Strategic Communications, support internal communications at times of crisis; create and deliver any necessary internal communications and engagement plans during or following a crisis
Community Engagement

  • Advises senior leadership on employee and student community engagement and wellbeing issues, as well as opportunities to improve experience, retention, and performance
  • Recommends best practices for community engagement and wellbeing based on uptodate knowledge of related research in academia and industry
  • Lead the development and implementation of the community engagement and wellbeing initiatives for guiding and enhancing both the present and longterm wellbeing of the Faculty of Mathematics students and employees
  • Builds frameworks/systems to support cultural and social connections among people that are not directly workrelated
  • Advises, counsels, and supports on the creation of equitable service across academic programs and units
  • Manages and implements community engagement and wellbeing initiatives to support the Faculty of Mathematics' strategic framework
  • Advises and/or implements initiatives to address concerns or situations that are negatively impacting employee and/or student wellbeing
  • Advises students and employees on wellbeingrelated projects to ensure that empathy, inclusivity, diversity, and ethical data collection are considered. Projects may include but are not limited to student and employee surveys, interviews, focus groups, town halls, and wellnessrelated design solutions
  • Develops, implements, and maintains an evaluation framework for Faculty of Mathematics engagement initiatives
Measurement and Impact

  • Analyze and segment internal audiences to target communication effectively
  • Maintain a strong understanding of different internal audiences. Use this knowledge to ensure the tone, language and format of internal communication is accessible and read by a range of Faculty groups
  • Bring together views and perspectives of stakeholders to gain a wider picture of the landscape surrounding activities and policies
  • Explore employee engagement data to understand the context for internal communication, identify challenges and barriers and suggest actions for improvement
  • Recommend and initiate new channels for internal and leadership communication
  • Develop tools and vehicles to generate sources of data to inform internal and leadership communication
  • Establish metrics to assess the effectiveness of internal communication and act on feedback to ensure communication is timely, relevant and meets the needs of the Faculty and internal audiences
  • Provide strategic advice and leadership for the Dean, Department Chairs, and Faculty communicators to realize internal and leadership communication campaigns and plans
  • Monitor and evaluate the effectiveness of internal communication strategies and tactics for continuous improvement
