Reporting to the Director of Infrastructure Technology, the Administrative Coordinator acts as a specialist in the area of coordinating activities around contract renewals, purchasing, telephony tasks, certificate renewal management and billing verification to support the IT infrastructure team.

Working closely with team members in Infrastructure, Procurement, Accounts Payable, External Vendors, Project Managers, Finance and Risk Management.

  • Telephony Task Management
  • IT Infrastructure Contract Renewal Management
  • Close collaboration with multiple teams such as external vendors, accounts payable, procurement, project managers, finance, risk management and our technical teams
  • Creating Contracts and POs in Service Now
  • Drafting documents as exceptions
  • Certificate renewal management; Reporting and collaboration with the infrastructure security team for renewal followups
  • Verify billing, generate reports, and identify any billing discrepancies
  • Manage the relationship with our suppliers; Regular meetings to establish a close relationship with them
  • Purchasing, soliciting quotes from multiple vendors, comparing, analyzing with requesters, negotiating to reduce our expenses
  • Coordinate necessary meetings and follow up on tasks to be completed
  • Manage priorities across competing needs, often with tight deadlines
  • Manage IT infrastructure team inventories
  • WHAT WE ARE LOOKING FOR
  • Analytical, structured and rigorous reasoning;
  • Team player, efficiency and ability to adapt quickly to different situations;
  • Ability to collaborate, organize, plan and manage priorities;
  • Strong communication and interpersonal skills;
  • Strong ability to write clear, concise and rigorous documents;
  • Ability to work independently and under pressure;
  • English and French, spoken and written;
  • Bachelor's degree in a relevant discipline or equivalent experience; 3 to 5 years of experience in a similar role;
  • Good knowledge of new technologies;
