Who You'll Work With
This position reports directly to the Director, Clinical Services & Operations and involves answering telephone calls, corresponding with legal representatives, assessors, examinees, and referral sources


What You'll Be Doing

This position has a fixed term of 12 months to provide maternity leave coverage.


The Administrative Assistant/Receptionist is a fulltime position, which involves answering telephone calls, corresponding with legal representatives, assessors, examinees, and referral sources, performing examinee reminder calls, and assisting with medical document processing.

There is also an occasional need for the administrative support coordinator to attend the office in Mississauga to process courier packages and mail.

The Administrative Assistant/Receptionist will also be cross trained on various positions within the organization to cover vacations/absences.

These duties may include but are not limited to the following:

receiving reports; following up with assessors for late reports; sending out and obtaining consent forms for assessments, and booking auxiliary services for examinees (transportation, interpreting, chaperones and hotel accommodations).


  • Receive, screen, and forward incoming phone calls
  • Provide basic information to callers when required
  • Direct caller to appropriate party as required, such as redirecting requests for transportation / interpreting
  • Document telephone call/information for parties as needed, within database
  • Call examinees as per prescribed timeframe, to remind them of their appointment and to perform any required screening (eg. Covid)
  • Contact transportation/interpreting service providers as required regarding modifications to service, noshows, late cancellations, and customer/examinee requests
  • Document result of reminder call and provide information to assessors, Intake Coordinators, Director, assessment locations, and other staff as required
  • Assist with processing of medical documentation and sending of packages to assessors as required
  • Prepare courier/mail packages as required within the Mississauga office
  • With approval from the referral source, book/cancel transportation and interpreting services
  • Attend staff meetings and training as required

What You Need to Be Successful

  • Proficient with Microsoft Office Suite

What You Need to Stand Out

  • Previous experience in a healthcare setting is considered an asset
  • Previous office administration experience is an asset
  • Strong communication skills, both written and verbal
  • Resourceful, proactive, and selfdirected, with ability to seek confirmation of appropriate actions as needed
  • Organized and able to multitask, prioritize, and work within timelines/deadlines
  • Attention to detail and high level of accuracy
  • Ability to work in a fastpaced environment
  • Able to learn multiple electronic systems
