The Opportunity


Thinkingbox is on the search for a talented, highly organized Office Manager to join our growing team in Toronto If you have a keen interest in the world of advertising and your goal is to make our office feel like a second home for the team, we should chat.

As an Office Manager either you run the day, or the day runs you.

Thinkingbox is looking to hire a proactive Office Manager responsible for inspiring a pleasant work environment and optimizing high levels of organizational effectiveness, communication, and safety, where the team can achieve their goals while enjoying their time at the office.


What You'll Be Doing

  • Reception & Office Management_
  • Be the first point of contact to any visitors to our office and MD's in regards to the daily running of the office
  • Manage the office budget
  • Monitor and ensure adequate levels of office supplies, and purchase gear for current and new employees
  • Plan and purchase fruit, snacks, and other supplies to ensure our kitchen is stocked (no one can be hangry)
  • Manage incoming and outgoing post, couriers, deliveries.
  • Ensure the office is impeccable at all times for employees, visitors, and our clients including kitchen and meeting spaces (i.e. sink cleaned, garbage emptied, tables wiped, etc)
  • Maintain the office condition and arrange necessary repairs/cleaning
  • Calendar management for the board rooms, setting up boardrooms and providing refreshments, lunches or other items for clients
  • Liaise with facility management vendors, including cleaning, catering, recycling, and security
  • Manage security and employee access to the building and office
  • Assist in the onboarding process for new hires
  • Team Coordination_
  • Assist in booking and coordinating travel for directors, senior management and other team members as required
  • Support the directors and senior management team with ad hoc requests Book and coordinate ad hoc meetings for team members
  • Coordinate our onboarding and offboarding process
  • Assist the Talent Manager with ad hoc HRrelated tasks, such as managing our benefits administration
  • Culture_
  • Be able to clearly articulate the company's culture and values to new hires and existing employees
  • Create a welcoming and inclusive environment for all employees
  • Plan and host cultural events and activities that bring people together and promote teamwork and collaboration. Think team building activities, social events, and even companywide games and competitions
  • Admin Support_
  • Support sales team with administrative tasks such as data entry and organization

What You'll Bring

  • 2+ years' experience working in an administrative capacity
  • You have experience managing an office of 30+ employees
  • Strong customerservice focus
  • A keen interest in the digital media advertising world; you know what we do and you are excited about it
  • Above all else, you have a consistently positive attitude and a willingness to do whatever it takes to create robust solutions to complex problems
  • Works and communicates well with others
  • Excellent time management skills and ability to multitask and prioritize work
  • Available to work fulltime in our Toronto office, with some evenings and occasional weekend tasks (more of an exception, not a rule)
  • Experience in hospitality is a bonus
  • Experience in a receptionist, hospitality or admin role
  • Experience working in a Mac OSX environment, Microsoft Office and G-Suite.
