Assistant Supervisor, Accounts Payable

Status:
Full-time


Purpose:


Reporting to the Accounts Payable Supervisor, this position is primarily responsible for assisting in the day-to-day administration and transactions of the accounts payable coordinators.

Through understanding of key functions of the department you shall provide instruction, oversee cash management, vendor administration, expense expenditures, handle over payments, complete month-end journal entries (as needed), to ensure the needs of the business are met in a timely manner.

Through understanding of key functions of the department you shall provide instruction, oversee cash management, vendor administration, expense expenditures, handle over payments, complete month-end journal entries (as needed), to ensure the needs of the business are met in a timely manner.


Key Responsibilities:


  • Develop, implement, and maintain systems, policies, and procedures within the AP department
  • Assist and where required take lead on AP process improvement activities
  • Monitor and supervise payments to vendors, review the payment proposals and monthly reconciliations and analysis
  • Review vendor reconciliations and approvals
  • Ensure that all payments are compliant with corporate policies and procedures which include proper approval and correct G/L coding
  • Respond to and resolve all internal and external AP inquiries as required.
  • Liaise with other departments to ensure accurate and timely payments when necessary
  • Provide guidance to all team members and collaborate to ensure success of the team.
  • Provide reports and status on outstanding payments
  • Assist with internal and external audit inquiries
  • Post invoices into t,m he AP system while validating approval on invoice, tax registration numbers, payment terms and resolving amount or quantity discrepancies with purchase orders
  • Process vendor payments through EFT, cheque, or wire.
  • Adhoc/other duties as required

Qualifications:


  • College diploma or university degree in the field of business with a specialization in accounting preferred
  • 5+ years of prior accounts payable experience
  • Proven ability to motivate and influence others to work towards a common business and/or team goal, through a lead role, or supervisory capacity.
  • Excellent communications skills, both written and verbal
  • Superior working knowledge of Microsoft Office Suite (Excel, Outlook, etc.)
  • Previous ERP system experience, Microsoft Dynamics 365 will be considered an asset
  • Knowledge of Accounts Payable best practices, standard concepts, policies, and procedures
  • A customer focused approach to dealing with internal and external stakeholders
  • Good organizational, multitasking, analytical and problemsolving skills, with an attention to detail
  • Experience working in a teamoriented, collaborative environment while being able to work independently
