About This Role:


HTS has an exciting opportunity for a
Front Office Coordinator (maternity leave contract, April 2023 to November 2024) to join our team.

Hours for this role are 7:00 am - 3:30 pm, Monday - Friday.


The Front Office Coordinator is pivotal in supporting the day to day operations of the school and serves as the first point of contact for students, parents, and visitors.

This role operates at the front office reception desk and provides administrative support to a broad range of departments within the School.

Your warm and enthusiastic personality and attention to detail will provide a positive and welcoming presence while juggling and managing priorities.


Some of the key responsibilities include:

  • Oversee and prioritize attendance / safe arrival procedure for students including late arrivals;
  • Provide administrative support to the Senior Leadership Team, Division Heads, faculty, and front office staff including printing, photocopying, preparing correspondence, labels, etc.;
  • Provides coordination, assistance and administrative support with student events as requested;
  • Track and assign oncall requests on a daily basis. Assign supply teachers for any gaps and requests that come into the oncall process;
  • Receive and distribute inbound/outbound mail and courier including dropping off at Canada Post;
  • Annual preparation of student medical binders.

  • Excellent communication skills (written and verbal) with a high attention to detail;
  • Excellent organizational and problem solving skills;
  • Commitment to a customerservice mindset, including respect for school, faculty, staff, student and parent confidentiality and the ability to demonstrate discretion on sensitive matters;
  • Agility and flexibility to meet changing work priorities and needs;
  • Postsecondary Degree or Diploma in business administration or equivalent;
  • Experience in an administrative role;
  • A highly motivated individual who is not afraid of handling ambiguous situations.
