Communications & Policy Coordinator - Edmonton, Canada - Elves Special Needs Society
Description
Chief Responsibilities:
- Develop, coordinate, and manage the Society's external communication channels (Facebook, Twitter, LinkedIn, YouTube) to enhance public awareness and keep stakeholders up to date on Society news.
- Create a content calendar to enhance Elves' online presence.
- Support Executive Director in developing collateral for Annual General Meeting, including the Annual General Report, Annual General Meeting Presentation, and facilitate the meeting as needed.
- Generate and coordinate annual staff contracts and oversee entire production, distribution, and return of contracts. Work with Accounting Department to ensure accuracy of information.
- Coordinate and schedule promotional and fundraising events, including the Annual Golf Tournament Fundraiser and 50/50 online silent auction events.
- Perform marketing using Mailchimp and social media on fundraising events, overseeing entire production of collateral including design, planning, scheduling, evaluation, and outreach such as donation solicitation, volunteer management, and golfer management.
- Organize and coordinate donated items for silent auction, responsible for production of photos and uploading them onto the auction website.
- Manage donation portal using CanadaHelps. Generate special "In Memory" and Golf Tournament Fundraiser pages as needed.
- Manage the Elves Special Needs Society website with WordPress: post timely announcements, upload yearly calendars, update pages and information as needed.
- Maintain the Elves Google Suite and Zoom accounts as an administrator. Provide technical support to organization throughout as needed.
- Update and coordinate the Elves Policies and Procedures manual as per Board approval. Manage upload of updated P&P onto servers.
- Manage annual updates to the School Program Orientation manual.
- Editing and typing correspondence letters and communications
- Compiling documents and files for their use
- Minuting and transcribing monthly Board of Director, AGM, and Committee meetings
- Participate in community events as needed and act as a representative of Elves Special Needs Society, occasionally accompanying the Executive Director at meetings with dignitaries and MLA's.
- Designing brochures, posters, social media posts, templates, marketing material, and other special designs as needed.
- Act as photographer and videographer for events. Ensuring photographs taken of students are compliant with consents.
- Provide support to special events as required. Some evenings, flex time, and travel may be required.
- Provide administration support during the absence of the Executive Assistant or Receptionist.
- Other duties as assigned by the Executive Director. You will work closely with the Executive Director on multiple projects.
Education and Experience
- A degree in communications, public relations, human resources, or related field.
- At minimum one (1) year of experience in communications or a related field.
- Exceptional oral and written communication skills.
- Strong organizational skills and ability to work unsupervised.
- Selfdisciplined and able to work on own initiative with a high level of scope, tact, autonomy, and motivation.
- Ability to conduct research and analyze large amounts of information and documentation.
- Strong writing, editing, and proofreading skills.
- Advanced proficiency in Microsoft Office is required.
- Proficiency in WordPress, Canva, Zoom, and Google Suite is required.
- Experience working with CanadaHelps will be considered an asset.
- Experience working with numbers will be considered an asset.
- Experience with Adobe Creative Suite, Adobe Acrobat, Adobe Robohelp will be considered an asset.
- Experience with fundraising and marketing will be considered an asset.

The Elves team wears face masks and eye protection if working with learners. Cleaning and disinfecting of environments takes place after use.

- Edmonton, AB: reliably commute or plan to relocate before starting work (required)
Education:
- Bachelor's Degree (preferred)
