THE OPPORTUNITY


The Program and Events Coordinator provides support and assists Program or Event Specialists with the coordination required to plan and provide a variety of City-led programs and events.

Including, but not limited to, researching, planning, facilitating, implementing, and evaluating programs and events within the Recreation and Culture Department.

This position may provide on-site supervision of program leaders and/or volunteers, as it pertains to various programs and events.

This is a casual position used to fill various program and event requirements throughout the year.


RESPONSIBILITIES
Plan and Coordinate Assigned Programs or Events

  • Contribute to assigned program and event plans and prepare all required supplies, equipment, forms and where required confirm special guests and field trip contacts.
  • Assist in providing highquality, programs that meet identified program outcomes, standards, and requirements.
Program and Event Coordination and Administration

  • Maintain appropriate work records including daily logbooks, incident and accident reports, timesheets, duty sheets and other documentation.
  • Ensure that all tasks and paperwork are completed in a timely, quality manner, including regular communication to participants/volunteers/contractors.
  • Contribute to training and/or orientation manuals by keeping them updated and policy information current.
  • Submit a final report including the program's progress/successes, recommendations for future programs and/or events.
Provide Oversight and On-site Supervision to Assigned Staff or Volunteers

  • Ensure onsite leadership aligns with the City/Department plans, and related values and guiding principles.
  • Create and foster a safe, welcoming, enjoyable environment for all, by leading program participants and other volunteers, or assigned staff in a professional, safe, and engaging manner.
  • Through effective use of communication, provide a high level of coaching, training, and mentoring to assigned staff and volunteers (program leaders, event and program volunteers) to ensure assigned tasks, program/event goals and outcomes are achieved.

QUALIFICATIONS

  • Enrollment in a postsecondary institution in a related field with completion of the first year.
  • Minimum of one (1) year experience supervising staff and/or volunteers.
  • Minimum of one (1) year directly related experience in planning and leading recreation, events, youth or related educational programs, and/or event planning.
  • Minimum of two (2) years' experience in a child/youth related role.
  • Strong customer service orientation and the ability to build positive, productive business relationships.
  • Enhanced knowledge of Microsoft Outlook, Word, Excel, Teams, and PowerPoint.

CONDITIONS OF EMPLOYMENT

  • Driver's License must obtain a satisfactory review of a threeyear Driver's Abstract.
  • Criminal Record and Vulnerable Record Check Clearance.
