Position Summary
The position of Project Coordinator provides assistance/support and facilitation of projects/programs across Centennial College.

Reporting to the Program Manager of the Project Management Office (PMO), the Project Coordinator will aid in advancing the development of the PMO and will collaborate with all internal and external stakeholders in the execution of this initiative.

In accomplishing the PMO's mandate, the incumbent will carry out tasks supporting the development, implementation, and maintenance of formal project management methodologies and procedures, enhancing College-wide engagement with project management.


The Project Coordinator is a detail-oriented individual who will play an active role in project development and implementation, and ensuring high quality deliverables.

The incumbent will plan, prepare, and populate tools and templates for the project life cycle, including updating documents and tables, identifying sources of information, and designing presentation slides for various purposes.


Responsibilities

  • Maintain and monitor project plans, project schedules, and other project documentation
  • Organize, attend, document, and participate in stakeholder meetings
  • Capture project requests and keeping an uptodate repository of the projects' documentation
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project
  • Assess project risks and issues and provide solutions where applicable
  • Ensure stakeholder views are managed towards the best solution
  • Chair and facilitate meetings where appropriate, distribute minutes, and follow up on important actions
  • Create a project management calendar for fulfilling each goal and objective
  • Collaborate with both internal and external groups on the development and completion of various project deliverables, as required
  • Act as the point of contact for various working groups
  • Execute and verify control functions throughout the project life cycle
  • Maintain logs during project life cycle (recording actions, issues, root causes, and corrective actions);
  • Generate regular status reports and other metrics for Program Manager/Project Manager, storing as per department standards;
  • Coordinate and schedule the deliverance of daily, weekly, and/or monthly project meetings and working sessions
  • Compile lessons learned at project closing, ensure success stories properly documented and published
  • Interpret and implement project coordination standards and procedures, and evaluating their adequacy
  • Ensure the use of project management best practices, processes and procedures as developed by Centennial College's Project Management Office (PMO)
  • Other duties as assigned

Qualifications/Experience

  • Fouryear (4) Bachelor's degree in Business, Information Technology, Communications, Education, or a related field required
  • Minimum of five (5) years of relevant project experience, or an equivalent combination of education and experience in the public and private sectors
  • Project Management Certificate required
  • Experience preferably in either a postsecondary institution or public sector organization within a customer service focused role supporting project managers
  • Ability to build relationships easily with a wide range of stakeholders to understand their current and future needs and concerns
  • Knowledge and expertise in the use of Project Management, Project Management methodologies and Project Management tools, including related software
  • Organized, able to prioritize workload to meet deadlines
  • Advanced computer skills using Microsoft Office (Word, Excel, PowerPoint, Access). Microsoft Project and Visio experience is an asset
  • Proven verbal and written communica
