Job Summary
The People and Culture Advisor

  • Employee Relations and Administration
at Phoenix Society plays a critical role in managing the human resources administration, staffing processes, training and development, occupational health and safety, employee relations, benefits, and employee leaves. By building positive working relationships with Program Managers and key stakeholders within Phoenix Society, this role will ensure that the program needs regarding employee relations and HR support are fulfilled and stakeholders' expectations are met.

Organizational Status

The Phoenix Society is a multi-service agency located in the Lower Mainland of British Columbia dedicated to providing accessible services and opportunities to people who face barriers related to addiction, mental health, housing, education, criminal justice involvement and/or employment.

The People and Culture Advisor

  • Employee Relations and Administration
, will be a part of the People and Culture team and will assist with the department's goals and objectives.

Work Performed

Stakeholder Engagement

  • Build positive working relationships with hiring managers and key stakeholders within Phoenix Society.
  • Assists Program Managers with their Human Resources needs and requests in a timely manner.
Administration and Employee Experience

  • Deliver exceptional customer service experience to all staff and managers at Phoenix Society.
  • Prepare employee letters (Position, work hours and location changes)
  • Upload certificates and employee documents in Payworks
  • Liaise with Payroll regarding any employment changes (New hires, terminations, employee leaves, promotions, and disciplinary actions)
  • Ensure offboarding procedures are followed when employees depart the Society
  • Act as a backup for the P&C Advisor
  • Talent Acquisition
  • Assist with Adhoc projects and other duties as assigned
Training and Development

  • Work closely with Program Managers to identify training needs for the department
  • Source trainers to facilitate the required training programs identified by Phoenix Society
  • Develop and maintain a Society wide training calendar.
  • Ensure that Staff bulletins are up to date regarding training schedules and course enrollments
  • Ensure that staff are scheduled for the required training programs
  • Ensure Staff training certificates are up to date and advise Program Managers when certificates are due to expire.
  • Oversee and assist in training coordination and tracking training requirements
Policy Development

  • Assist the Director, People, Culture and Diversity with any Human Resources policy updates
  • Keep current of any legislative changes and advise of any changes to current policies, handbooks, and best practices.
Employee Relations

  • Assists Director, People, Culture and Diversity with preparing employee files for grievance handling and investigations
  • Be knowledgeable about PSAC Collective Bargaining Agreement
  • Ensure new union members are enrolled in the union and their member dues are up to date.
Health and Safety

  • Be part of the Health and Safety committee for the Society
  • Be knowledgeable about OHS regulations
  • Advise and recommend any changes to health and safety practices based on best practices and legislative changes
  • Ensure all sites are posting communication regarding Health and Safety.
  • Manage all the WorksafeBC claims
Leave Management

  • Track and maintain employee leave records
  • Follow up and communicate with employee on leaves (maternity/ parental leave, medical, disability, WCB claims) regarding their benefits entitlements, leave balances and return to work.
Social engagements and events

  • Be a part of the social committee and help with organising various staff engagement events for the Society.

Qualifications:

Education & Experience

  • Relevant degree in Human Resources, Business, Organizational Psychology or a related field
  • Three (3) years' experience in a role supporting staffing, employee relations, benefits administration, health and safety, leave management, and training and development within a complex organization.
Knowledge & Abilities

  • Knowledge of human resource policies and procedures as they relate to staffing, employee relations, union management, health and safety and benefits administration and exercises considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature
  • Excellent oral and written communication and interpersonal skills, including the ability to influence others
  • Knowledge of HRIS Systems (Payworks experience in an asset)
  • Professional organizational skills and the ability to manage multiple initiatives
  • CPHR certificate or working towards obtaining certification
  • Satisfactory completion of a crimina
