Home and Community Care Support Services South West is seeking an
Attendance and Scheduling Coordinator

Opportunity Summary:

Reporting to the Manager, Human Resources, as a member of the human resources and organizational development teams, the Attendance and Scheduling Coordinator, is responsible for providing solutions for staff scheduling issues maintaining regular communication with staff and managers.

Areas of responsibility include attendance management, scheduling, and data collection.

The Attendance and Scheduling Coordinator participates in and demonstrates an understanding of quality, risk and patient safety principles and practices, following all safe practices and procedures to support a safe patient and working environment.


This is a temporary full time opportunity with an anticipated duration of twelve (12) months.
What will you do?

Attendance Management

  • Manages daily absence line information by reviewing planned/unplanned absences and advising managers of impacts
  • Liaises with Managers to develop attendance management plans.
  • Ensures staffing requirements are met by prioritizing staffing resources and coverage for vacancies.
  • Assesses time sheet submissions and consults with manager to ensure that appropriate staffing levels are met prior to manager's approval.
Scheduling of Staff

  • Applies scheduling principles in accordance with the collective agreements.
  • Reviews coverage needs and coordinates coverage
  • Maintains updated availability records for casual staff
  • Schedules casual staff to cover for absences based on availability, skill/competency, geographical location, and continuity of case load
  • Participates in the coordination of crosstraining of staff for specialized areas
Communication

  • Responds to questions from staff regarding scheduling matters (e.g., timeoff, completion of forms, policy clarifications, etc.)
  • Coordinates with internal groups (e.g., Home and Community Care Managers) to facilitate coverage
  • Presents and clarifies scheduling processes related to the Collective Agreement at Patient Care meetings
  • Meets regularly with Home and Community Care Managers to discuss and problem solve scheduling issues
  • Maintain regular communication with casual staff regarding availability
Statistical Data Collection

  • Collects and provides data on attendance, coverage of key priority departments, staff training, and special projects
  • Analyzes data and reports on staffing trends
What must you have?

  • College Diploma in HR and/or equivalent experience
  • Knowledge of HCCSS South West business strategies, objectives, priorities and programs, and related HR priorities and plans
  • Knowledge of HCCSS South West administrative practices and procedures
  • HR Management Certificate an asset
  • Basic statistical knowledge
  • Knowledge of the Attendance Management system, as well as other resources/tools used in HR information management system.
  • Knowledge of the Collective Agreements, the Ministry of Labour Employment Standards, and other relevant policies, contracts and legislation
  • Knowledge of HR tools and systems available to support HR reporting and employee information

  • Ability to speak French or another second language.
