Position Overview
Manage the reception area with patience and diplomacy while performing a number of administrative duties for various departments


Responsibilities:

Answer phones and direct calls for all companies under Wescan's group of companies
Attend reception area and greeting all staff and visitors that come into the office.
Maintain and sort incoming and outgoing mail as well as coordinate with couriers
Maintain office supplies for multiple offices and job site locations
Managing printer room, devices, stock of supplies and technical support for printers
Book flights for jobs sites and offices as well as maintain flight trackers
Summarize credit card and account statements
Organize and approval process for subtrade invoices
Maintain certificates of insurances
Print and compile operation & maintenance manuals and other large print jobs
Organize and order meeting and company lunches at both offices
Set up and maintain company security key fobs for all office and site staff
Assign and maintain parking passes for both offices
Other duties as assigned


Requirements:

High level of communication and organizational skills
Intermediate working knowledge of Microsoft Office (Word, Excel, PowerPoint, and
Outlook) and Adobe Acrobat
Must possess multi-task handling ability, and knowledge of administrative procedures
Self-driven and creative, personal commitment and desire to succeed in a fast paced environment
High School Diploma

Salary:
$35,000.00-$37,000.00 per year

Education:


  • Secondary School (preferred)

Experience:


  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
