Key Responsibilities:


Payroll (70%):


  • Process payroll for Canada and US (ADP & CoAdvantage) on a timely basis
  • Process US Certified Payroll on a weekly basis
  • Act as a primary contact and respond to enquiries from internal and external sources regarding Canada and US payroll
  • Oversee expense administration using Concur platform & prepare reports on expense usage
  • Oversee Time & Attendance administration
  • Ensure all wages are paid accurately and in a timely fashion in accordance with corporate policies and all applicable legislation
  • Prepare records of employment as applicable
  • Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements
  • Administer wage garnishment requests and submit government remittances (WSIB, EHT, etc.)
  • Submit employee contributions to the RRSP/401(k) plan
  • Prepare CRA Remittance Reconciliations
  • Assure the accuracy of the vacation accrual balance showing in the payroll system
  • Maintain and ensure the proper GL allocation of payroll expenses to each department and reconciliations
  • Prepare yearend reconciliations and filings of tax slips and all government forms
  • Ensure payment of commissions, manage taxable benefits, garnishments, taxes, and other deductions
  • Prepare reports and forecasts for senior management, and custom reports for HR and Finance
  • Participate in software change discussions and new software implementation
  • Conduct regular audits on payroll procedures and records
  • Design, document and implement procedures to streamline payroll processes
  • Maintain confidential information by adhering to legal and ethical standards
  • Offer support on escalated matters and resolve errors and issues

Group Benefits and Retirement Programs (30%):

  • Administer employee group benefits for Canada and the US, including: Medical, Dental, Vision, Life Insurance, Disability, LTD., RRSP, 401(k) etc.
  • Act as a primary contact and respond to enquiries from internal and external sources regarding group benefits and retirement plans
  • Support coordination of all benefits related internal initiatives or projects
  • Coordinate Benefit/RRSP/401k employee sessions
  • Audit and reconcile benefit billing
  • Participate in the US open enrollment process
  • Prepare reports and forecasts for senior management and custom reports as required
  • Perform HR Duties on an as needed basis

What you need to be successful (Must Haves)

  • Minimum 5 years of experience in Payroll
  • Benefits Administration knowledge
  • Proficient with MS Office: Excel (Vlookups, Pivot Tables)
  • Strong attention to detail, organizational and multitasking skills
  • Excellent communication (written and verbal),
  • Client service focus
  • Highly organized with effective time management skills
  • Experience with confidential information with high degree of professionalism
  • Proactive, resilient, problem solver
  • Collaborative approach

  • Completion of the Payroll Compliance Practitioner (PCP) certification with the Canadian Payroll Association
  • Previous payroll implementation experience
  • Experience working with ADP Workforce Now
  • Experience with US payroll and group benefits
  • Basic accounting knowledge
  • Experience in a fastpaced, high change environment
  • Ability to problem solve and work efficiently under deadlines
