About the Opportunity:

Reporting to the Northern Zone Health Information Services Manager, the responsibilities and the purpose of the staffing clerk position is to:

  • To assist HIS managers in monitoring staffing requirements to ensure adequacy and competency
  • Input schedules into payroll system
  • Incumbent will utilize the main payroll system to validate and maintain payroll information on all zone employees in health information services
  • To confirm accuracy of biweekly payroll statements and communicate adjustments to management.
  • To maintain employee records for sick time, vacation, holiday, time in lieu credits and usage, as per collective agreements, communicating to employees as required.
  • To facilitate optimum daily staffing needs by booking relief as necessary to cover shifts requested off by all staff.
  • Update call out activity log sheet for all offered and denied shifts for regular and casual staff
  • To calculate and maintain record of authorized overtime and other special hours, i.e. education, etc.
  • To be knowledgeable of collective agreements as they relate to payroll and staffing.
  • To attend and participate in educational/inservice classes, on the job training programs, workshops, seminars, departmental meetings and serve on committees, as required.
  • To develop and maintain effective working relationships within the department as well as with other departments within the organization.
  • To keep work area in safe and tidy manner so as to avoid occupational hazards
  • Workload must be maintained electronically as much as possible.
  • Other job related duties as required

About You:

We would love to hear from you if you have the following:

  • Grade XII
  • One (1) year Secretarial or Business program or equivalent previous related clerical/secretarial experience required
  • Minimum of one (1) year experience in a clerical position
  • Demonstrated knowledge of pertinent collective agreements as they relate to staff scheduling
  • Demonstrated knowledge of computerized payroll, daily time input or accounting systems
  • Demonstrated proficiency in word processing, database & spreadsheet software programs.
  • Good interpersonal and communication skills a high degree of tact, judgment and confidentiality
  • Ability to work independently, assess situations and seek resolution if possible, in accordance with NSHA policies and procedures
  • Ability to work in an area with frequent interruptions
  • Competencies in other languages an asset, French preferred
  • Incumbent will be required to pass a written skills test and interview process
