(Please note this is a 12-month contract and hybrid working role.)
Reporting to the Senior Manager, Accounting, the Accounting Assistant provides accounting and clerical support to the accounting team to ensure accuracy of financial transactions and general ledger accounts.
This role also oversees the contract management process, is responsible for employee credit card reconciliations, accounts payable support, and provides the Revenue and Banking Accountant and Accounts Payable Specialist with general accounting support.
How you will make an impact every day
Records and maintains accurate and complete financial records
- Prepares monthly accounting entries and enters into accounting system
- Supports banking, revenue, accounts receivable, accounts payable and inventory functions with maintaining accurate and complete financial records
- Supports month end and year end AP & AR close
- Preparation of ad hoc financial reports
Prepares account reconciliations
- Prepares general ledger account reconciliations as required
- Reconciles employee credit card clearing account and prepares related accounting entries
Accounts Payable Support
- Provides vendor payment and remittance support to Accounts Payable Specialist
- Responsible for Electronic Fund Transfer (EFT) file generation, supports EFT set up and vendor set up
- Responsible for Purchase Order (PO) invoice entry
- Processes research grant payments
- Monitors AP inbox and responds to AP invoice payment status inquiries
- Prepares tax selfassessment reconciliation and AP invoice tax breakdowns
- Provides support to third party AP vendor, responding to inquiries and issue resolution as needed
- Processes credit card expense claims and reconciliation
Accounting & Audit Support
- Monitors general finance mailbox and accounts receivable inbox and provides backup to the AP inbox, and responds to inquiries
- Provides accounting support to Revenue and Banking Accountant, including AR billing requests, invoices, revenue entries, wire payment requests, NSF cheques and chargebacks
- Supports interim and year end audit, including preparation of audit working papers and year end reconciliation for annual audit, responds to queries from auditors and processes documentation
- General clerical support as required
- Supports accounting related projects as required such as updating finance material on Rita etc.
- Strives to continuously improve accounting processes and generate efficiencies
- Acts as back up for bank deposits
- Responsible for petty cash reconciliation for all H&S offices
- Trains, delegates and supervises coop students on various accounting tasks
Contract Management
- Responsible for administering the contract management process, ensuring all contracts are logged and filed, contract summary forms are completed and include the appropriate approvals
- Ensure the contract policies and processes are followed
- Training coop students on contract management process and other areas where they support the team
- Supervises, delegates work and trains volunteers
Who we need
Experience
- 24 years related experience
- Experience supervising volunteers or coop students would be an asset
Education
- Postsecondary Diploma or degree in accounting/finance or applicable on the job experience
Skills
- Good understanding of GAAP
- Knowledge of financial accounting systems (i.e. Great Plains) an asset
- Intellectual curiosity, with a demonstrated interest in finance and accounting
- Excellent written and verbal communication skills
- Critical thinking, problem solving and good judgement
- Strong collaboration and teamwork ability
- Selfstarter with the ability to plan, organize and meet strict deadlines
- Strong attention to detail and accuracy
