SUMMARY:
The Administrative Assistant is responsible providing general administrative support for the Controllers, including communications, payroll, document management, and fleet management.
SPECIFIC RESPONSIBILITIES:
- Issue communications to the Finance & Accounting department on behalf of the VP or Controllers
- Coordinate the documentation of agreement to/performance of key controls
- Order office supplies for the accounting/finance department
- Maintain/update the recovery/pandemic plans for accounting/finance
- Document storage duties, including:
b. weekly retrieval of invoices from offsite storage
c. managing pallets of documents in preparation for sending to offsite storage.
- Code and submit ecommerce delivery and related invoices (including tracking and billing fines)
- Payroll timesheet entry for accounting/finance
- Manage department vacation calendar
- Maintain database of all fleet drivers
- Maintain a document of driver policies
- Code and submit ongoing invoices for leasing, maintenance, 407, etc.
- Assist fleet drivers with all aspects of obtaining a vehicle and understanding the company's policies; answer ongoing questions from drivers; provide support in using online kilometre logging
- Provide other administrative support as requested by the VP, Controller or department, such as company communications (e.g. store opening/closing), payroll, scanning, filing, etc.
QUALIFICATIONS:
- College study (2 years) in business or administration
- General knowledge of financial spread sheets
- Strong administrative management skills
- Advanced knowledge of Word, Excel and PowerPoint
- Excellent verbal and written communication skills.
