Reporting to the VP Finance, the Administrative Assistant is responsible for providing high quality administrative and project support to the Head Office and branch employees.

Specific Accountabilities:_

  • Provides administrative and project support including:
  • Answering telephone calls, giving appropriate information to callers, or transferring them to the appropriate office. Answering and screening manager's calls as required.
  • Preparing and distributing correspondence, reports, and other documents
  • Providing project support as required
  • Organizing and maintenance of filing system
  • Sorting and distributing incoming mail.
  • Processing outgoing mail and delivering to the post office
  • Ordering office supplies and maintaining office supplies inventory
  • Monitoring and coordinating requirements for all VCU properties
  • Other general office administration
  • Coordinates all travel arrangements and reservations including travel schedules, hotel reservations, conference fees, car rentals, etc. for any meetings, functions or conferences as required.
  • Prepares and distributes meeting agendas and meeting materials for the Board and Committee meetings. Records, transcribes, and maintains master record of meeting minutes for these meetings. Coordinates Board and Committee activities.
  • Organizes logístical arrangements for the Annual General Meeting (AGM) including booking meeting rooms and assisting with the coordinating catering arrangements. Prepares and distributes records AGM information packages. Records, transcribes, and maintains master record of meeting minutes for the AGM.
  • Ensures all Valley Credit Union policies are updated on Valley Connection and the board intranet site.
  • Assists in implementing changes to policies and procedures in the deposit area.
  • Adhere strictly to Anti-Money Laundering and Terrorism Financing (AMLTF) compliance.
  • Demonstrated tact and discretion in preparing, disclosing, and handling information of a confidential and sensitive nature.
  • Completes other duties and projects as assigned.


The Administrative Assistant will have successfully completed a diploma in Office Administration plus have three to five years related experience and/or training; or equivalent combination of education and experience.
