Job Summary
We are seeking an organized and detail-oriented Scheduling Coordinator to join our team. This role is vital in managing appointments, coordinating schedules, and providing exceptional customer service. The ideal candidate will have strong administrative skills, proficiency in office software, and experience in clerical or medical office environments. The Scheduling Coordinator will ensure smooth operations by maintaining accurate records and supporting both staff and clients efficiently.
Duties
- Manage and update appointment schedules using scheduling software and Microsoft Office tools
- Coordinate with clients, staff, and vendors to confirm, reschedule, or cancel appointments
- Handle multi-line phone systems with professionalism and courtesy, providing excellent customer support
- Perform data entry tasks accurately with relevant platforms
- Maintain filing systems for records, correspondence, and documentation
- Assist at the front desk with greeting visitors and managing inquiries
- Support administrative tasks such as proofreading documents, organizing files, and managing calendar events
- Ensure timely follow-up with clients or patients regarding appointments or inquiries
- Support bookkeeping activities related to scheduling and billing processes
Qualifications
- Proven experience in office administration, clerical work, or office settings preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with outlook calendar software is mandatory
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent phone etiquette and customer service skills
- Data entry accuracy and attention to detail; typing and proofreading skills required
- Familiarity with multi-line phone systems and front desk operations
- Previous experience in customer support or administrative roles
- Ability to handle confidential information discreetly and professionally
