Administrative Assistant
Primary Responsibilities
- Assist with arranging and coordinating of company wide events, seminars, conferences, social activities, etc.
- Record and prepare minutes of meetings, seminars, and conferences.
- Schedule and confirm appointments/meetings.
- Order office stationery supplies and maintain inventory.
- Source promotional products for company events, onboarding, etc. including conducting research, obtaining quotes, maintaining inventory.
- Coordinate and manage travel arrangements, prepare detailed itineraries and make reservations as required.
- Open and distribute regular and electronic incoming mails and other material and coordinate the flow of information
- Answer incoming calls.
- Greet, direct and assist visitors, customers, and employees with general inquiries.
- Make coffee, organize catering, and set out food for all types of company events as required.
- Manage and monitor Conference Room reservations and ensure all rooms are set up and cleaned up throughout the day.
- Type and proofread correspondence, forms, and other documents.
- Demonstrate a high degree of professionalism, initiative and independence in providing administrative support to the Senior Leadership team.
- Work with competing priorities and meet tight deadlines through prioritization and good time management.
- Collect and track data, research information, balance and process expense reports.
- Consistently exercise discretion in handling correspondence, information, and all matters of confidentiality
- Be an effective team player and adaptable in adjusting to changing work priorities.
- Participate fully as a member of the team and contribute to a positive work environment.
- Keep others in the immediate team informed and uptodate about the status/progress of projects, and all relevant or useful information related to daytoday activities
- Other administrative responsibilities as requested.
Qualifications
- Completion of college program preferred.
- High School Diploma will be considered with (2) years related office administration experience.
- Hands on knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Good organizational and time management skills
- Show initiative and work well with a wide range of people throughout the organization.
- Ability to maintain confidentiality.
- Strong communication skills, both verbal and written.
- Selfmotivated with the desire to continuously learn and expand knowledge.
- Team player with a positive attitude; capable of working independently in a fast paced environment.
