Job Title:
Administrative Assistant - 18 Month Term Position
Independent Counselling Enterprises (ICE) is an organization providing residential and non-residential services to adults with disabilities. The Administrative Assistant (AA) provides administrative and professional support to the ICE Management team.
Duties & Responsibilities
- Office administration duties such as filing, typing, photocopying, recording of meeting minutes and organization of telephone conferences and meetings.
- Prepare monthly reports as required.
- Assisting with maintaining agency documentation and monitoring systems.
- Ensure sensitive and confidential information is managed appropriately.
- Reception coverage as required.
- Organization of company data, including creation and upkeep of database files.
- Becoming familiar with and able to effectively use the computer programs designed for ICE for tracking client, employee and service delivery information.
- Other duties as assigned.
Education & Experience
- Experience in an administrative role supporting the office _
required_. - Post secondary education in office administration an _
asset._ - Vulnerable Sector Police Information Check_
required_
Knowledge, Skills and Abilities
- Resourcefulness, flexibility and ability to handle stressful situations.
- Strong typing and minute taking skills, including MS Office Suite.
- Familiar and proficient in using Excel, Adobe and Publisher.
- Excellent interpersonal skills with the ability to deal sensitively and appropriately with a variety of people, both in person and over the phone.
- Exceptional verbal and written communication skills.
- Strong attention to detail and accuracy.

Job Types:
Full-time, Fixed term contract
Contract length: 18 months
Salary:
$20.51 per hour
Expected hours: 37.5 per week
Schedule:
- 8 hour shift
- Day shift
- Monday to Friday
