Administrative Assistant

Hours of Work: 37.5 hours (Monday to Friday)


Contract:
Fixed Term contract for 4 months

Location: 877 Yonge Street, Toronto

ACCOUNTABILITY


The Administrative Assistant is accountable to the Senior Property Manager and will also be working to support the Property Managers at different onsite locations.


FUNCTION

DUTIES
The duties of the Administrative Assistant fall under the following categories:

Administrative Support
Administrative Assistant will support the Property Manager onsite with administrative tasks that include but not limited to

  • Scanning documents of tenants and related documents.
  • Filing the documents in an organized manner and labeling and coding them for easy retrieval
  • Data entry on platforms like Breeze and Yardi.
  • Managing and maintaining shared folders with all relevant documents.
  • Data cleanups
  • Producing reports.

REQUIREMENTS

  • 12 years of experience working in an administrative role
  • Proficient in Office 365 and has knowledge of MS Excel
  • Specific experience with SharePoint is an asset.
  • Ability to handle complex situations in a calm manner.
  • Skilled at process/workflow creation and administration and standardization across diverse contexts
  • Detail oriented and extremely organized
  • Skilled at managing multiple timelines, prioritizing and working independently to meet goals.
  • Able to work onsite 5 days a week.
  • Experience handling projects independently with least supervision.
  • Familiarity with consulting with multiple stakeholders to make decisions.
