    Job Description:
  • PURPOSE OF POSITION
  • Accountable for providing and managing the delivery of a range of centralized facilities services, and corporate administrative programs and services in support of overall Corporate Services Department strategies.


  • KEY RESPONSIBILITIES

  • Manages the delivery of centralized corporate Facilities and Administrative Services programs and services, ensuring consistency with overall section or department performance measures, standards, best practices and deliverables.
  • As part of the management team, supports FSRA leadership in formulating strategy and developing tactics and provides leadership in executing programs or services to deliver on strategy and tactics.
  • Manages the planning and delivery of facilities services to meet FSRA's accommodation needs including space planning; moves; phone and computer set up; and day to day issue resolution as well as the collaborating on health and safety policies and procedures.
  • Manages the delivery of corporate administrative services including facilities administration; security services; mail distribution; shipping/receiving and general clerical support services.
  • Manages day to day operations and oversight of unit programs, services and work areas to meet established overall operational plans and directions of the section or department and leads the development, implementation and training on facilities and administrative procedures, guidelines, and administrative systems.
  • Provides program/service advice and information to management and staff across service FSRA in response to day to day operational matters and makes recommendations for problem resolution and improved procedures for the delivery of programs or services.
  • Manages the unit and its staff to support an environment and culture of service excellence which respects diversity, encourages all employees to work together to achieve results and contribute to a healthy, rewarding and productive working environment where personal and team accountability are key to meeting the mandate of FRSA.

Accountable for building a strong team including:
hiring, orienting, training and coaching of staff, determination of performance standards, conduct of performance reviews and management of performance and employee relations matter. Works with the CHRO in operational planning and reporting on performance metrics, program effectiveness, and impacts related to unit matters. Recommends approval of financial transactions to the CHRO. Supports critical change and a new collaborative, forward thinking culture within the unit, and works with others to achieve this across the section or department. Promotes and supports the implementation of innovation and continuous improvement throughout the unit and section or department. Leads and/or participates on projects within the section, department to represent the unit's interests in program or service matters. Manages relationships and consultation with stakeholders impacted by unit programs and operations to respond to program or service related inquiries and seek feedback on program or service needs. Works in collaboration with colleagues on section operational matters in support of section or department priorities.

QUALIFICATIONS

  • Education and Experience
  • College diploma in business or administrative field. years' experience in managing day to day operation for the delivery of corporate programs or services in the areas of facilities, emergency management, business continuity, library services and corporate administrative services combined with expertise in working as a member of a larger relevant function/department.
  • Relevant industry experience preferred.
Knowledge and Skills- Skills and ability to manage change for a new organizational culture and vision. Skilled in managing work processes, adapt procedures and provide optimum services and programs.
