This is a Bargaining Unit Position

Scope of Position


The Reception Center services are provided in a twenty-four hour, seven days a week hotel setting which is a temporary home to up to 250 clients.

Responsible for ongoing client intake including receiving clients from the airport, gathering basic background information; making hotel reservation, providing hotel orientation up on clients arrivals, coordinate with catering company, assist in the coordination of volunteers to deliver interpretation services within and outside of the agency offices and provide administrative support to multiple program areas.


Responsibilities

  • Make hotel reservations for clients based on funders reference and cancellations when necessary
  • Coordinate with Point of Entry agency and transportation providers to ensure safe and smooth arrival of clients to the reception center
  • Responsible for the delivery of programs and counseling services to clients; Provide emergency orientation to new arrivals
  • Responsible for the intake/admission, predeparture services and checkout of residents ensuring complete documentation
  • Responsible for the operation of the Centre, which includes responding to emergency situations.
  • Responsible for office duties such as answering telephones and registering clients into various programs
  • Assesses clients' needs in regards to initial settlement issues.
  • Conducts Government Assisted Refugees(GAR) Clients Intake and Moving Procedure
  • Refer client to other agencies or inhouse for further counselling.
  • Develops short term and long term case management counselling services
  • Liaises with landlord, other personnel, other agencies and organizations regarding services for clients.
  • Facilitates group information sessions and workshops for newcomers and coordinates with partners when necessary
  • Provide Housing Support Services and assist clients to set priorities and follow up on their progress
  • Inputs cases/information in database systems and prepares referral data for monthly reports
  • Arrange with catering company regarding food delivery
  • Responsible for distributing and compiling client satisfaction surveys and feedback forms
  • Maintain documentation related to supplies required, purchase orders submitted, service contracts etc.
  • Responsible for petty cash
  • Maintain strong working relations with agency programs and partner organizations
  • Actively participate in professional development initiatives
  • Must meet target set by Programs Manager

Qualifications

  • A degree or diploma in Administration, Social Services or Counselling and at least three years' experience working with immigrant communities or a combination of experience and education that fulfills the requirements
  • A second language in Somali, French, Arabic required
  • Knowledge of immigration and refugee services and of the ethnospecific programs and services (government, agencies) in GTA
  • Successful completion of Polycultural's service delivery manual
  • Possession of a current First Aid/CPR training certificate would be an asset
  • Familiarity with issues facing newcomers in a Canadian urban setting and systemic barriers facing integration in education, social, cultural, and economic aspects of Canadian life
  • Excellent interpersonal, cross cultural, customer service, written and verbal communication skills
  • Experience in outreach, community development and marketing of program and services
  • Strong organizational and technical skills, including proficiency in Microsoft Office
  • Must be able to lift upto 30 pounds
  • Flexible schedule is required (including evenings and weekends) on as needed basis
  • Valid G drivers license is required

Other requirements

  • A satisfactory Vulnerable Sector Police Check (completed when an offer is made)
